Requirements

  • Bachelor's Degree in Business Administration, Nonprofit Management, or a related Social Services field.
  • 5+ years of administrative or office management experience, preferably in a non-profit or residential care setting.
  • Proficiency in Microsoft Excel and experience with HRIS systems (Paycom experience is a plus).
  • Exceptional attention to detail, the ability to maintain confidentiality, and a "servant-leader" mindset.

Responsibilities

  • Financial Stewardship & Reporting Prepare and submit accurate monthly Financial Reports, Petty Cash Reports, and Check Reports.
  • Communicate with accounting and treasury on monthly financial reports and tithes.
  • Supervise and manage all Home monetary transactions and accounts, including making weekly bank trips, the Blessings Account, and Petty Cash Account.
  • Maintain weekly tracking of resident account balances using Resident Account Template and Tithe form.
  • Code and submit monthly credit card statements Operations & Administration (In Collaboration with DERO): Manage Paycom tasks, including the timely approval of PTO requests and timecards.
  • Ensure staff annual reviews are submitted within established deadlines.
  • Ensure all home operations align with the Home Program Procedures Manual, Employee Handbook, and Health & Safety Handbook.
  • Facilitate and document monthly fire drills and safety inspections.
  • Facilities & Logistics Identify and submit home maintenance work order tickets Review the Vehicle Management Logs and report vehicle concerns and ongoing facilities issues to the Associate Director of Operations Identify and communicate light maintenance needs (e.g., basic repairs and upkeep) for the weekly volunteer to the Administrative Supervisor Complete minor tasks such as light bulb changes, home set up for events, etc.
  • Coordinate the master residential calendar, including outings, special guests, and integration with Corporate Programs, Development, and Marketing events.
  • Coordinate with Ministry HQ staff for home events.
  • Facilitate new hire orientation schedule for home staff and be the point of contact for their first day.
  • Program Support & Resident Engagement Assist Day Staff in monitoring the daily schedule to ensure Programmatic Expectations are met; fill in for Day Staff as needed to maintain coverage.
  • Receive and disseminate resident needs to the pertinent staff members efficiently.
  • Provide safe transportation for residents as needed.
  • Plan and lead "Fun Friday" events and mall trips in collaboration with the Program Coordinator.
  • Provide coverage for staff during breaks.
  • Maintain assigned training opportunities and consequences to residents.
