About The Position

Under the direction of the Administrative Services Manager, the Resident Services Specialist is responsible for assisting residents in the processing and filing of paperwork for passports applications, handicap placards, Illinois Department of Natural Resources hunting and fishing licenses, Illinois license plate sticker renewal, voter registration, and notary. The Resident Services Specialist supports the department by providing responsive, accurate, and efficient clerical, supportive, and customer service assistance to residents, elected officials, staff, and vendors. Responsible for carrying out duties that include general clerical and office-based work. Responsible for providing direct support services to departmental staff and maintaining a professional image through in-person, email, and telephone interactions. Performs other duties as required for the successful operation of the Administrative Services Department. This position is non-exempt with a pay range of $20.00 - $23.00 per hour (depending on qualification and experience).

Requirements

  • Associate’s degree in office administration or related field required. Bachelor’s degree preferred.
  • Three years of experience in office administration is preferred. Equivalent combination of education and experience.
  • Proficient knowledge of all Microsoft Office applications required including, but not limited to, Word, PowerPoint, and Excel.
  • Ability to obtain Passport Acceptance Agent certification and renewal annually.
  • Willingness to work occasional evenings and/or weekends as needed.
  • Obtain notary certification.

Nice To Haves

  • Bachelor’s degree preferred.
  • Three years of experience in office administration is preferred.
  • Ability to read and speak Spanish is preferred.
  • Willingness to receive Certified Illinois Assessing Officer (CIAO) designation within 12 months.
