PMP Management is seeking a Resident Services Associate (part-time) for Four Seasons at Bakersfield, CA. The Resident Service Associate provides a wide variety of administrative and staff support services, performing office work directly related to the property management and general business operations of the association. Duties include assisting with budget preparation, maintaining records and reports regarding operation and personnel changes, and handling emergency service duties.

Requirements

  • 3-5 years administrative experience
  • Excellent customer service
  • Outstanding organizational skills
  • Knowledge of Microsoft Offices application
  • Willing and able to work evenings + weekends consistently
  • Professional communication skills
  • Comfortable with enforcing rules and handling pushback
  • Ability to work independently after training
  • Basic computer competency and willingness to learn systems

Responsibilities

  • Ensures that the telephone is answered properly, and messages are handled courteously, accurately and in a timely manner.
  • Provide administrative and clerical support to the General Manager such as reports, letters/correspondence, and forms.
  • Prepare binders, spreadsheets, and documentation for monthly Management Council meetings.
  • Prepare, code, and research invoices and check requests for payment of services or products related to Executive Office functions. May include C3 research and/or contacting vendors for additional information regarding past due statements or invoices.
  • Receive checks and prepare for signatures depending on account.
  • Prepare Delinquency Report for monthly Management Council meeting.
  • Prepare and email monthly meeting calendar with dates and times of management, COA and miscellaneous to all employees.
  • Scan and file signed Management Council Meeting minutes.
  • Scan and file monthly financials for COA, Shared and Restaurant.
  • Request copies of invoices, checks, and information as necessary.
  • Create and update logs – computer tech service, copier log and phone tech log.
  • Update procedures book as needed.
  • Schedule and coordinate monthly on-site employee staff meetings.
  • Other duties as assigned.
