About The Position

The Reservations Coordinator is responsible for managing all guest reservations with precision and care, ensuring a seamless booking experience that reflects the hotel’s luxury standards. This role oversees reservations across direct channels and third-party platforms, maintains accurate inventory and rates within Opera, and supports revenue optimization through attention to detail and proactive communication. The Reservations Coordinator works closely with the Front Office team, Sales team (Rooms Coordinator) and Revenue Management (Dragonfly Distribution) to ensure alignment in inventory control, rate strategy, and overall guest experience.

Requirements

  • High school diploma or equivalent, required.
  • Opera Cloud experience required
  • Minimum 1 year of reservations coordinator or front desk experience required
  • Must be able to communicate fluently in English for both written and verbal communications
  • Proficiency with computer systems
  • Ability to work a flexible schedule is required
  • Must have high school graduate level mathematical aptitude, know standard cash handling procedures and knowledge of computerized cash register systems.
  • Must have experience in dealing directly with the public and acquired general knowledge of basic customer service skills.
  • Must be fluent in oral and written English.
  • Must be able to understand and follow verbal/written instructions, work on more than one task at a time, and be able to communicate both verbally and in writing.
  • Must be able to use tact and understanding when dealing with a variety of customer service problems, including stressful and highly emotional situations.
  • Must be highly organized and able to pay attention to minute written and verbal details, particularly when performing multiple tasks.
  • Able to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  • Must be able to lift and carry up to 50lbs
  • Must be able to stand at least 60%
  • Must be able to sit and squat frequently

Responsibilities

  • Manage all reservations within Opera, including new bookings, modifications, and cancellations.
  • Maintain detailed guest profiles, preferences and VIP Notes.
  • Monitor room availability and assist in controlling inventory to prevent discrepancies or overbooking.
  • Oversee reservations from third party platforms such as Expedia, Booking.com and all GDS.
  • Ensure reservations are correctly integrated into Opera via Channel Manager.
  • Process and reconcile VCCs within valid charge windows.
  • Monitor OTA extranets for accuracy in rates, availability and refunds.
  • Support efforts to minimize OTA related errors, disputes and refunds.
  • Maintain rate integrity across all distribution channels and assist revenue management in loading and auditing rates, packages and promotions in Opera.
  • Cross reference and validate reservations, rates and availability between Opera Cloud and iHotelier.
  • Identify and report discrepancies between systems and escalate as needed.
  • Respond promptly and professionally to reservation inquiries via email, phone and OTA messaging platforms.
  • Collaborate with the Front office and Sales Coordinator to fulfill any requests, preferences etc. and to ensure readiness for VIPs or High Profile arrivals.
  • Ensure accuracy of rate codes, market segments, source code, and billing instructions.
  • Process deposits, prepayments and guarantees in accordance with hotel policies.
  • Review daily reservation reports including Arrivals, Departures, Cancellations, No shows, Booking pace, Pick up trends, and Channel production.
  • Maintain organized documentation for audit and reconciliation purposes.
  • Assist with EOM reports and trackers.
  • Responsible for Travel Agent Commission payout
  • Maintain guest privacy.
  • Perform other duties as requested by leadership.
  • Perform any other job-related duties as assigned.
