About The Position

The Fiscal Analyst reports to the Associate Director for Research Administration Fiscal Operations and is an important member of a team responsible for supporting the Lab Animal Resources (LAR) facility with purchasing, managing the financial aspects of animal operations operating software, billing accounts receivable, managing inventory, running financial processes in Workday, and providing regular financial and other related reporting to LAR leadership.

Responsibilities

  • Manage billing operations by maintaining accurate animal census records, processing account changes, and ensuring correct per diem and service charges.
  • Prepare and reconcile monthly billing data, including importing charges into Workday ISD and animal operations systems.
  • Process and track all animal-related charges, including drugs (controlled and non-controlled), supplies, custom diets, laboratory fees, import/export, and procurement costs.
  • Oversee procurement activities by entering requisitions in Workday, verifying receipts, reconciling invoices with purchase orders, and managing the BPC procurement card process.
  • Monitor and maintain inventory levels for LAR supplies, medical scrubs, and animal shipping materials; coordinate ordering through Workday as needed.
  • Prepare and submit expense reports in support of LAR leadership.
  • Ensure compliance with institutional and regulatory requirements by monitoring protocols, charge accounts, and renewal statuses.
  • Collaborate with the IACUC office to establish procedures for accurate and timely reporting.
  • Prepare animal use reports for USDA and AAALAC, verifying data with the Attending Veterinarian and Animal Health Coordinator.
  • Research and respond to inquiries from LAR staff, IACUC, and principal investigators regarding census data, protocols, and animal usage.
  • Track protocol renewal status and communicate updates, including holding statuses, to relevant stakeholders.
  • Develop training materials and deliver instructions to researchers and animal users on animal procurement and colony management processes.
  • Provide front office support as needed, including answering departmental phones, assisting visitors, managing mail distribution, maintaining service logs, and issuing access cards.
  • Participate in staff meetings and training sessions to stay current on process updates, regulatory changes, and system enhancements.
