About The Position

As a Reporting Operations Coordinator, you will act as the central point of contact for independent reporters and partner agencies, ensuring timely coverage, accurate scheduling, and high-quality transcript delivery. Requirements

  • 4+ years of experience in operations, vendor management, or logistics; experience in legal tech or court reporting is a plus.
  • Highly organized and detail-oriented, with proficiency in managing spreadsheet-driven workflows and multiple concurrent tasks.
  • Strong communication skills with the ability to interact proactively, clearly, and diplomatically with external vendors and internal teams.
  • Comfortable making urgent operational decisions and managing shifting priorities independently.
  • Process-driven mindset with experience creating systems, playbooks, and scalable operational solutions from the ground up.
  • Commitment to service quality, accuracy, and positive client experiences.
  • Ability to work effectively in a remote environment with minimal supervision.

Responsibilities

  • Coordinate scheduling and coverage for events requiring Certified Stenographic Reporters (CSRs), matching reporters by geography, format, and availability.
  • Manage relationships with reporters and partner agencies, maintaining performance records, contracts, and compliance with service standards.
  • Ensure event readiness by confirming reporter assignments, sharing event details, and providing day-of support.
  • Handle escalations promptly, resolving issues such as late/no-show reporters or technical problems in real time.
  • Drive onboarding and activation for new reporters, verifying credentials, providing training, and supporting early assignments.
  • Track reporter performance and service quality metrics, maintaining accurate logs of attendance, timeliness, and communication.
  • Collaborate with product and engineering teams to recommend and implement system enhancements and process improvements.
