  • 5+ years administrative experience , ideally in: equipment rental construction services customer service organizations
  • Equivalent experience (7+ years) may substitute for formal education.

Nice To Haves

  • Post-secondary education, technical certification, or degree preferred
  • Experience with ERP or accounting systems (RentalMan preferred)

Responsibilities

  • Coordinate rental contract billing activities accurately and efficiently.
  • Work closely with the sales team to resolve billing needs or contract questions.
  • Collaborate with customer accounts payable teams to ensure invoices are distributed properly.
  • Enter invoice data into customer accounting systems when required.
  • Maintain accurate records for rental contracts, service records, and billing documents .
  • Ensure proper internal controls and documentation processes are followed.
  • Perform detailed data entry and document processing within internal systems.
  • Record, verify, and post customer payments in accordance with company accounting policies.
  • Maintain and reconcile accounts receivable ledgers to ensure timely payment collection.
  • Research and resolve billing discrepancies or customer inquiries .
  • Use RentalMan ERP and other systems to manage rental contracts and invoices.
  • Generate reports for sales commissions, targets, and operational metrics when needed.
  • Support the finance team with records preparation for audits .
  • Work collaboratively with sales, operations, finance, and corporate contracts teams .
  • Handle customer calls or inquiries related to rental contracts and billing when needed.
  • Provide administrative support to the local sales team .
  • Assist with special projects and process improvements .
