About The Position

The Viterbo University Fine Arts Center invites applications for the position of Rental and Events Operations Manager. This full-time year-round salaried position will find you working along an eight-member team that supports the 50+ year strong presenting series at the Fine Arts Center Main Theatre and at our downtown La Crosse venue, the Weber Center for the Performing Arts. The Rental and Event Operations Manager will oversee and implement all aspects of house management, the volunteer usher program, and rental operations for facilities under direct Fine Arts Center supervision. To be successful in this position, you should demonstrate and have experience with crowd management, emergency response practices, patience, time management, attention to detail, and great interpersonal skills. The successful candidate will demonstrate they can calmly and effectively think on their feet, learn from mistakes, make effective recommendations, and have a collaborative spirit.

Requirements

  • Bachelor's Degree and/or an equivalent combination of education and or a minimum of three years of experience in a related field of work.
  • Certified crowd manager, or willingness to complete training program with a certification.
  • Diplomacy, flexibility, calmness under pressure, collaborative skills, an ability to juggle and prioritize many conflicting priorities, and a sense of humor are essential.
  • Strong computer skills.
  • Excellent customer service skills and the ability to communicate diplomatically with diverse groups of people, including staff, vendors, contractors, and clients.
  • Self-motivated with strong interpersonal, organizational, and leadership skills.
  • Ability to work with creative people in a variety of tasks.
  • Working knowledge of IATSE regulations and specifications.
  • First aid and CPR / AED certification or willingness to complete training.

Nice To Haves

  • AutoCAD and / or Vectorworks experience is a plus.
  • Working knowledge of the scheduling and event management software – EMS Software a plus.
  • Microsoft Office proficiency.
  • Experience working in a presenting facility.

Responsibilities

  • Oversee House Management Services for university presented, produced, campus events, and external clients.
  • Oversee recruitment, training, and scheduling of Assistant House Managers and volunteer ushers for all performances.
  • Document volunteer history and report on same, maintain volunteer handbook and enforce guidelines, asses the learning and outcomes of the program.
  • Attend or ensure appropriate "staff in charge" is present at all events.
  • Coordinate with the Patron Services Manager regarding accessibility requests, while also implementing accessibility programs established by the Fine Arts Center and the University.
  • Respond to patron/client issues promptly and courteously while maintaining customer expectations and university policies.
  • In coordination with university guidelines, develop, coordinate, and execute emergency response plans for the Fine Arts Center.
  • Ensure proper safety measures, adequate housekeeping, and adherence to all applicable EPA, USITT, and OSHA standards in the workplace and La Crosse Fire Department codes.
  • Oversee the facility rental operations for Fine Arts Center and University owned facilities.
  • Duties will Include but not limited to contract creation, research and advise the Fine Arts Director on standard and competitive pricing models, invoicing, staffing, and event coordination / implementation.
  • Maintain student work schedules, training, and attendance records.
  • Report when applicable.
  • Report / track student timecards.
  • Hire, recruit, and train student staff.
  • Represent the Fine Arts Center as a positive role model by striving to provide the highest quality of customer service to both internal users and rental clients.
  • In collaboration with Fine Arts Center staff, oversee and maintain all equipment used within the Fine Arts Center.
  • Serve in a support role for campus sponsored events.
  • Assist and execute in the establishment of plans for maintenance and capital projects.
  • Maintain clean and orderly work areas including but not limited to the performance areas and wings, technical control areas, and all storage.
  • Other duties as assigned by the Director of the Fine Arts Center.
