JOB SUMMARY High Point Networks is seeking a detail oriented and self-motivated Renewals Specialist with strong communication and organizational skills. This role is responsible for maintaining accurate contract and configuration data within our CRM, preparing renewal quotes, processing orders, and delivering high quality support to both customers and Account Managers. The ideal candidate is proactive, collaborative, and comfortable managing multiple priorities in a fast paced environment.

Requirements

  • Experience working with CRM systems and strong data entry accuracy.
  • Strong communication and relationship building skills with both internal and external sources.
  • Ability to manage multiple deadlines, prioritize tasks, and maintain attention to detail.
  • Proficiency with Microsoft Office or similar productivity tools.

  • Background in contract administration, renewals, sales operations, or customer support preferred.

Responsibilities

  • Maintain and update all contract configurations, pricing details, terms, and agreement records within the CRM to ensure accuracy and compliance with internal standards.
  • Conduct periodic audits of contract data to identify discrepancies, correct outdated information, and uphold data integrity across customer accounts.
  • Support process improvements related to contract documentation, data entry, and CRM workflows.
  • Collaborate with vendors, Account Managers, and customers to gather required information and validate contract details for upcoming renewals.
  • Prepare timely, accurate renewal quotes based on product usage, pricing models, and contract terms, ensuring alignment with internal policies.
  • Communicate proactively with stakeholders to clarify requirements, address questions, and revise quotes as needed.
  • Monitor expiring and expired contracts and initiate outreach to customers and Account Managers to discuss renewal timelines, required actions, and potential service impacts.
  • Track all follow-up activities in the CRM and maintain clear documentation of communication history, decisions, and next steps.
  • Provide guidance to customers on renewal processes, contract terms, and available options.
  • Process finalized agreements by verifying contract terms, updating CRM records, and coordinating with internal teams to ensure proper activation or renewal of services.
  • Prepare and send formal agreement confirmations to customers, ensuring accuracy and clarity in all documentation.
  • Maintain organized digital records of all agreements and related correspondence.
