Requirements

  • Proven experience in onboarding, or recruitment coordination.
  • Strong communication skills – ability to guide and support both Remote Assistants and clients with clarity.
  • Highly organized & detail-oriented – must be able to juggle multiple onboarding tasks while maintaining accuracy.
  • Tech-savvy & adaptable – familiarity with HRIS systems, CRMs, and onboarding software is a plus.
  • Proficiency in Microsoft Office & Google Workspace – strong documentation and process-tracking skills.
  • Self-Driven, Proactive Mindset - This role is for someone who naturally takes the initiative and actively finds ways to contribute. You’ll be expected to add value without waiting for instructions and to be a driving force for the business.

Responsibilities

  • Onboarding Preparation Ensure that newly hired Remote Assistants (RAs) have all necessary onboarding materials, tools, and access to required platforms. Coordinate with internal teams to prepare and streamline onboarding checklists for each role.
  • New Hire Communication & Integration Serve as the main point of contact for new hires , guiding them through the onboarding process and answering any questions. Conduct introductory sessions to set expectations and outline role responsibilities. Ensure that new hires understand client-specific processes and business goals .
  • Client Onboarding & Coordination Guide clients through their onboarding process , ensuring they understand what to expect from their new Remote Assistant. Align client expectations with the capabilities and role of the newly hired RA. Ensure client-specific onboarding standards are met for a smooth working relationship.
  • Collaboration with Internal Teams Work closely with recruiters, hiring managers, and operations to ensure a seamless transition from hiring to onboarding . Communicate any feedback, challenges, or gaps in the onboarding process to improve efficiency.
  • Onboarding Sessions & Documentation Schedule and lead structured onboarding sessions to introduce Remote Assistants to their assigned clients. Maintain accurate records of onboarding documents and compliance materials in the relevant database.
  • Process Optimization & Continuous Improvement Identify gaps in onboarding processes and implement solutions for increased efficiency. Monitor and enhance the onboarding experience to ensure consistency and effectiveness.
