The Rehab Services Practice Manager is accountable for the day-to-day operations of Riverside Rehab Services (RHBS) outpatient practices. This role directs, supervises, and coordinates non-clinical staff and administrative activities across multiple clinic locations to ensure high-quality, cost-effective care delivery and positive patient experiences. The Practice Manager is responsible for efficient daily operations including front desk performance, staff and patient scheduling, timekeeping and payroll processes, performance metric tracking, billing efficiency, and high-level operational issue resolution. This is a non-clinical role that works in close partnership with the Rehab Services Therapy Manager and clinical leadership to support access, productivity, patient experience, and financial performance while maintaining compliance with hospital policies, regulatory standards, and accreditation requirements. The Practice Manager directly supervises all departmental clerical staff and is responsible for hiring, training, performance management, and engagement of those team members. This role is an integral member of the Rehab Services Leadership Team and supports execution of departmental growth objectives and leadership strategies. The Practice Manager reports directly to the Director of Rehab Services. Essential Duties: Operations & Front Desk Leadership Serve as the primary operational and administrative leader for front desk and non-clinical workflows across all outpatient therapy clinics Oversee front desk operations including scheduling, registration, insurance verification support, and customer service standards Ensure clinic schedules are optimized for patient access, provider utilization, and patient experience Monitor front desk staffing, performance, and training needs Lead consistent implementation of patient-facing workflows across all sites Scheduling, Payroll & Workforce Operations Oversee staff and patient scheduling for all outpatient therapy clinics, including clinicians and clerical staff Monitor and approve PTO requests, payroll reports, and timekeeping changes Manage staffing alignment with volumes and productivity expectations in partnership with clinical leadership Manage flex budget related to worked labor and volumes in conjunction with the Therapy Manager Performance Metrics & Reporting Collect, track, analyze, and report daily and monthly operational metrics Monitor visit volumes, cancellations/no-shows, schedule utilization, access, and front desk efficiency Identify trends and opportunities for improvement and support action planning with clinical leadership Prepare and submit monthly operational reports to the Director of Rehabilitation Services Billing, Revenue Cycle & Compliance Support Support billing efficiency through oversight of front-end accuracy, charge capture workflows, and denial management Address operational issues related to coding, reimbursement, and documentation workflows in collaboration with clinical leadership and revenue cycle teams Ensure front desk intake activities align with hospital policy, including referrals, authorizations, and Epic work queue management Assure medical records contain required administrative elements to support reimbursement and quality Leadership, Culture & Staff Engagement Supervise, train, evaluate, and engage all departmental clerical staff Conduct performance appraisals for clerical staff and support employee engagement initiatives Support a culture of accountability, service excellence, and continuous improvement Participate in leadership meetings, committees, and performance improvement initiatives Collaboration & Strategic Support Partner with the Therapy Manager and clinical leaders to support referral development strategies Participate in interdepartmental and organization-wide committees as appropriate Maintain compliance with DNV, ISO 9001, and hospital standards across RHBS locations Support clinical leadership by providing operational data, insights, and administrative coordination This job description indicates the general nature and level of work expected of the incumbent.
