About The Position

This is an office-based position that processes initial and renewal licensure applications and registration renewals for Board of Medicine professions. Performs annual Physician In Training Audit; processes volunteer physician fee waivers pursuant to s. 766.1116, F.S. Maintains Board of Medicine zzzz email box. Exact duties and responsibilities can vary slightly by board office and position, but common duties for Regulatory Specialist II's in the Bureau include: Independently reviews and evaluates transcripts, degrees, and other educational materials of individuals trained in the United States or foreign countries to determine eligibility for certification and licensure in a specific profession in accordance with respective Florida statutory and Board requirements. Enters and maintains accurate data and uploads documentation on licensees and the status of initial and/or renewal applications and licensure in relevant electronic databases. Responds directly and in a timely fashion via writing or over the phone to public inquiries on licensure status, deficiencies, and requirements; relevant Statues or applicable Board rules; and technical issues regarding the licensure process. Conducts research into educational materials, Florida Statutes, Board rules, and other relevant items to make decisions on whether individuals meet the criteria and standards for the requested license or certification. Establishes and maintains a paper and/or electronic filing system of all documentation and communication received from those applying for licensure in assigned profession(s). Supports supervisors by preparing agenda materials for Board/Committee meetings and attending said meetings when needed. Summarizes and prepares initial and/or renewal application files and supporting documentation for review by Board members. Performs other related work as required to maintain an efficient office which responds promptly to the needs of licensees, applicants, consumers, the legislature, and other areas of the Department, including, but not limited to, training new employees and assisting with office phone coverage.

Requirements

  • Ability to learn and utilize job-specific software such as LEIDS and AxiomPro and office equipment such as phones, fax machines, scanners, and copiers.
  • Knowledge and proficiency of Microsoft Office software and in using Windows-based computers.
  • High School Diploma or equivalent and 2 years’ experience that includes data entry, document preparation, computer software use, evaluating legal documents or evaluating for compliance with regulations, customer service, or handling sensitive information.

Responsibilities

  • Processes 160 volunteer hour renewal fee/continuing medical education (CME) waivers pursuant to s. 766.1116, F.S.
  • Enters CME credits for volunteer work and board meeting attendance into CE Broker.
  • Processes license status changes (including military) and reactivations for all eligible Board of Medicine professions.
  • Processes practice location changes for Area of Critical Need (ACN) and Limited licenses.
  • Communicates verbally, in writing, via telephone, email and form letters with licensees, medical educators, the general public, medical community, other state and federal regulatory agencies, and medical societies.
  • Communicates verbally, in writing, via telephone, email and form letters with licensees regarding continuing medical education requirements and requirements for licensure renewal.
  • Reviews and responds timely and appropriately to the Board of Medicine’s zzzz email box daily.
  • Performs annual Physicians in Training Audit beginning July 1 of the renewal year and follow up with status report.
