About The Position

The Registration Coordinator will triage in-person patient encounters and patient secure-messaging detailing visual and ocular complaints, and ocular emergencies; make independent decisions regarding scheduling appointments in the appropriate clinic service. Will provide patient services for appointment check-in and check-out. Will be responsible for assisting patient's arrivals, answering phones, scheduling appointments, and arranging and verifying insurance coverage. Understand HIPAA policy and present HIPAA information to patients. Will provide patient check-out services by re-verifying insurance, processing patient billing and coding sheets for accurate optometric procedures and diagnostic codes; collecting exam fees, co-pays, and eyewear purchases. Responsible for posting payments for services and materials, determining patient and insurance responsible balances; and entering adjustments, refunds, and discounts in Compulink software. Understands and explains eye examination procedures and fees to patients, and answers patient prescription-related questions and patient questions based on medical record information. Responds to spectacle, contact lens, and medication/medication refill requests from patients and attending optometrists. Supports Medical Records Department daily operations in accordance with state/federal regulations and college/university procedures governing medical records handling. Understands HIPAA and data entry of confidential patient information. Performs Release of Information duties in a secure and confidential manner. Prepares and reviews medical records and prescriptions for completeness and accuracy, scans documents/images into EHR, and conducts quality reviews. Archives and purges medical records. May assume other Medical Records duties in the absence of manager. Communicates with other medical providers regarding patient care and referrals and delivers and retrieves records. Provides copies of receipts and Rx’s to patients. May perform these duties in other departments such as Medical Records, Vision Rehabilitation, Contact Lens, Binoc ular Vision/Pediatrics, Vision Therapy, Advanced Ocular Care or the Eyewear Gallery. Performs other administrative duties as needed.

Requirements

  • High School Diploma or GED

Nice To Haves

  • One year experience in optometric or health care setting desired
  • Knowledge of practice management software desired
  • Understanding of medical and administrative procedures desired
