About The Position

The High School Registrar is responsible for managing and maintaining student records and ensuring compliance with state regulations. This role involves assisting students and parents with enrollment, transcript requests, and graduation requirements. The Registrar will also collaborate with school staff and administration to ensure smooth operations related to student data and records.

Requirements

  • Valid Arizona IVP Fingerprint Clearance Card
  • Bilingual (Spanish/English)
  • 3+ years of high school registrar experience in a similar setting
  • 1+ years of PowerSchool Experience
  • Strong organizational skills, attention to detail, and proficiency in student information systems.
  • Excellent communication skills and the ability to handle sensitive information with discretion

Responsibilities

  • Accurately maintain student records, including transcripts, grades, personal information, and cumulative files, per state and federal regulations. Ensure all documents are up-to-date and accessible for review or audits.
  • Process student enrollment, withdrawals, and transfers, ensuring all necessary documentation is collected, verified, and updated in the system. Maintain meticulous records for compliance and future reference.
  • Develop and manage the master schedule, track student course credits, and verify that all students meet the graduation requirements. Collaborate with counselors and administrators to ensure students are on track to meet their academic goals.
  • Support school administration during state reporting periods and audits by preparing, reviewing, and providing all necessary records and documentation. Ensure all submissions are accurate, timely, and compliant with state and federal guidelines.
  • Serve as the primary point of contact for inquiries regarding student records, policies, and compliance from students, parents, staff, and external agencies. Provide guidance and clarification as needed, ensuring all communications are handled professionally and confidentially.
  • Regularly review student files for accuracy and completeness, ensuring all required documents are obtained and maintained for compliance purposes. Stay informed on changes in state and federal regulations to ensure ongoing compliance.
  • Regularly read and review error reports generated from student information systems and take prompt action to correct any validation errors, ensuring data integrity.
  • Prepare and maintain cumulative records, ensuring they are accurate and up-to-date. Compile and submit end-of-year reports in accordance with school policies and state requirements.
  • Prepare and send student records to other schools for transfer students, following all relevant guidelines and ensuring that records are transferred securely and in compliance with regulations.
  • Perform other duties as assigned or required, including participating in professional development opportunities to stay current with best practices in student records management and compliance.
