About The Position

The Registrar is responsible for managing all student records, enrollment, scheduling, academic data, and work-study compliance tracking. This role ensures accurate and timely maintenance of student records, oversight of CWSP certifications, compliance with regulatory requirements, and support of the academic and work-study teams in student enrollment, course registration, transcript management, and graduation tracking. The Registrar serves as the primary point of contact for student records, providing exceptional service to students, families, faculty, and corporate partners.

Requirements

  • Bachelors degree required, Masters degree preferred.
  • Prior experience in student records management and transcript processing, preferably in a secondary school setting.
  • Knowledge of CWSP certification requirements and corporate work-study tracking systems.
  • Strong understanding of FERPA, academic records management, and data privacy regulations.
  • Excellent organizational skills and attention to detail.
  • Proficiency in student information systems and Microsoft Office Suite; experience with SIS platforms preferred.
  • Strong interpersonal and communication skills; ability to work collaboratively with faculty, staff, students, families, and corporate partners.

Responsibilities

  • Student Records Management Maintain accurate and up-to-date student records, including enrollment, attendance, grades, transcripts, disciplinary history, and CWSP work-study certifications. Ensure compliance with FERPA, state reporting requirements, diocesan or network policies, and corporate work-study program obligations. Manage the secure storage, archiving, and retrieval of all student records.
  • Enrollment, Registration, and Transcript Management Oversee student enrollment processes, including new student applications, registration, withdrawals, and transfers. Acquire, process, and transmit official transcripts for students applying to colleges, dual enrollment programs, and external institutions. Coordinate with students, families, and external institutions to ensure timely and accurate transcript requests and submissions.
  • CWSP Certification Tracking Track student progress toward CWSP certifications, ensuring all students meet program requirements prior to placement. Collaborate with corporate partners and internal CWSP staff to validate student certifications and compliance documentation. Maintain a centralized record of CWSP certifications, deadlines, and renewals.
  • Scheduling and Academic Support Assist with course scheduling, including coordination with teachers and counselors to optimize class assignments. Monitor student progress toward graduation requirements and provide guidance on course selection and academic standing. Generate and distribute official transcripts, grade reports, and enrollment verifications as requested.
  • Data Management and Reporting Maintain and update student information systems (SIS) to ensure accurate data entry and reporting. Prepare state, diocesan, network, and corporate partner reports as required. Collaborate with academic and CWSP teams to analyze student data to support instructional and work-study decisions.
  • Stakeholder Communication Serve as a resource for faculty, students, families, and corporate partners regarding enrollment, transcripts, CWSP certifications, and academic policies. Respond to internal and external inquiries in a timely, professional manner. Provide guidance and training on recordkeeping, CWSP compliance, and data transmission procedures.
