Requirements

  • A bachelor's degree is required; a master's degree is preferred.
  • At least 5 years of progressive experience in a registrar's office or similar context, demonstrating leadership, administrative, supervisory and organizational abilities.
  • Experience in data management systems and use of technology to improve the effectiveness and efficiency of registrar office responsibilities; experience with Colleague (Ellucian) is preferred.
  • Extensive knowledge of state and federal guidelines, and compliance requirements.
  • Ability to analyze, solve problems and make effective decisions, especially in regard to assessing existing operations and procedures, supporting new curricular structures as needed, and identifying ways to improve service to students and support of faculty and staff.
  • Ability to maintain confidentiality and security of records and information.
  • Excellent interpersonal and communication skills.
  • Enthusiasm for working collaboratively with students, faculty and staff.
  • Occasionally required to lift and/or move up to 20 pounds.

Responsibilities

  • Manage and maintain the Ellucian Colleague student information system to ensure accurate, efficient, and high-quality student records, reports, institutional statistics, and information for faculty, students, and administrators.
  • Prepare and distribute reports on student academic performance to authorized individuals and departments as required.
  • Provide academic eligibility and performance information for student-athletes, including transmitting records to the Athletic Department to support NCAA compliance and coordinating with the Director of Athletic Compliance as needed.
  • Collaborate with faculty and staff to coordinate class schedules, room assignments, final exam schedules, and student registration processes.
  • Oversee the preparation and submission of federal and state statistical reports related to student enrollment and academic records.
  • Process and verify student academic records, including graduation requirement verification, deferment forms, insurance forms, and grade collection and distribution.
  • Hire, supervise, and evaluate Registrar’s Office staff and support their professional development.
  • Collaborate with the Student Development office on student-related matters as needed.
  • Ensure the security, retention, and confidentiality of student academic records in accordance with FERPA and university policies.
  • Interpret and apply institutional policies and procedures related to academic records and registration processes, ensuring proper documentation and compliance.
  • Ensure staff are properly trained and qualified to perform their responsibilities and maintain any required certifications.
  • Serve on the Academic Life Committee and Commencement Committee, assisting with the planning and execution of commencement and convocation ceremonies and attending these events annually.
  • Perform other related duties as assigned.
