About The Position

The University of Iowa Office of the Registrar is hiring a dedicated Registrar Services Specialist. Join our Transcripts & Verifications team in the Office of the Registrar, where your careful eye and commitment to accuracy help ensure students’ academic records are processed correctly and securely. In this role, you’ll handle transcript and verification requests, apply FERPA guidelines, and communicate with students, faculty, staff, and outside organizations who rely on accurate academic information. You’ll work in our student information system (SIS) and the National Student Clearinghouse (NSC) to update enrollment and record changes—and you’ll help identify ways we can streamline our processes to make things easier and more efficient for everyone. You will also have the opportunity to: Monitor daily emails and answer phone calls; resolve inquiries accordingly by listening and providing excellent customer service. About the Department: In the Office of the Registrar our mission is to provide the University faculty, staff, students, and public with accurate academic records that support the worldwide education mission of our institution. We work with every faculty, staff, student, department, and dean's office on this campus coordinating and providing services related to the student records: course catalog, registration, fees, records, transcripts, data warehouse, institutional research, reporting, maintenance, and security for student records data, grading process, graduation, and diploma services.

Requirements

  • A bachelor’s degree or an equivalent combination of education and experience.
  • Some (typically 6 months to one year) related experience in an administrative academic setting with understanding and applying university or college rules.
  • The ability to establish, build, and maintain productive relationships and partnerships within and external to own unit and agencies.
  • The ability to work in a team-based environment that supports a variety of individuals and groups in a constructive and respectful manner while appreciating the unique contribution that each person brings to the workplace.
  • The ability to create, maintain, retrieve, and archive electronic and procedural documents. Follows security and version management guidelines and practices as well as standard processes and procedures to ensure/maintain data accuracy, integrity, and confidentiality.
  • Understanding of the necessity and ability to process information with high levels of accuracy and attention to detail.
  • Use of communication concepts, tools, and techniques to effectively transmit, receive, and accurately interpret information to various groups.
  • Effective use of online records management systems, preferably MAUI (internal UI) system or other student records system or product (I.e., Banner, Peoplesoft).
  • The ability to learn and apply broad institutional rules, policies and laws, such as understanding FERPA and other university and federal regulatory procedures.
  • Application of Microsoft Office Suite applications such as but not limited to Word, Excel and One Note.

Nice To Haves

  • Understanding of the University’s and Registrar’s Office mission, vision, and key factors.
  • Demonstrates basic familiarity with cash handling, financial processes, and procedures.
  • Experience working in higher education, preferably in a Registrar’s office or role.
  • Direct experience and familiarity with FERPA and university regulations preferred.
