About The Position

The Surgery Scheduling Manager is responsible for overseeing the day-to-day activities, including operational, personnel and administrative functions of the Surgery Scheduling Department. This position performs a wide variety of duties and responsibilities that emphasize leadership, quality patient care and customer service. The Surgery Scheduling Manager will be required to know all surgical specialties for all surgical facilities. They are responsible for creating an optimal surgery scheduling experience by managing all tasks related to surgery scheduling. This person will work with their team to ensure that all clinic locations are operating as a whole.

Requirements

  • Job requires a bachelor’s degree.
  • A minimum of 4 years supervisory/managerial experience and surgery scheduling experience required.
  • Medical terminology training and previous Microsoft Office Suite experience preferred
  • Excellent presentation, written and verbal communication skills are required.
  • Flexible, positive attitude. Ability to collaborate with other leaders, teams and individuals with the goal of enhancing patient access and customer experience.
  • Must be willing to travel as needed.
  • Must demonstrate the ability to work in a positive customer service manner with the general public.
  • Must demonstrate the ability to learn computer systems necessary to operate in Eye Associates clinic environment, and how to most effectively operate various office machines to include, but not be limited to, the copy machine, calculator, fax machine, and microfilm reader/printer.

Responsibilities

  • Serve as the primary point of contact at all clinics for all matters relating to surgery scheduling.
  • Manages the day-to-day operations of the Surgery Scheduling department to optimize performance and quality levels while ensuring the most efficient use of resources.
  • Provides input into and manages the processes for creating a patient/customer service experience consistent with the high service standards of EANM.
  • Develops and manages the active relationships with primary EANM surgical centers to include ASC's, hospitals, and clinical surgical suites that is focused on EANM physician/patient needs.
  • Ability to travel as needed and work from any EANM location with a minimum of 2 days per week spent in the Santa Fe.
  • Develops, implements, and maintains departmental processes and procedures. Establishing goals and outcomes.
  • Develops, implements and maintains a clinic-focused oversight of surgical programs to include refractive, anterior segment, oculoplastic, retina, cornea, and glaucoma.
  • Develops, implements and manages appropriate processes for communication and process improvement within all facilities to reduce errors, facilitate standardization and maintain positive clinic/facility work relationships.
  • Makes recommendations to the Director of Patient Access regarding staffing levels while coordinating the interviewing and selection process.
  • Manages and coordinates proper training of new and existing surgery scheduling employees.
  • Provides leadership and management to the surgery scheduling team leaders and staff.
  • Manages leave time and time edits for the surgery scheduling team leader and staff.
  • Manages staff performance, provides recommendations to Director of Patient Access and implements disciplinary actions as necessary.
  • Manages team leaders and individual staff members’ performance and writes/communicates their evaluations.
  • Evaluate and manage the workload of the Surgery Scheduling team to ensure that all tasks are able to be completed appropriately.
  • Work closely with other leaders/departments, identifying opportunities for improvement in existing systems and policies, to increase efficiency and develop plans to reduce costs.
  • Works closely with the financial counselors and EANM Patient Accounting to assist refractive patients with affordable financing arrangements, as utilizing the estimator tool to consistently and correctly collect prior to surgery the patient portion for specifically identified surgical patients.
  • Ensures that procedure scheduling is accomplished efficiently and in concert with regular patient clinic flow, recognizing that Refractive and cosmetic patients are uniquely different from patients seeking medical care.
  • Facilitates or delegates personnel to conduct regular meetings with EANM physicians to review their individual surgical program.
  • Manages necessary monthly reporting for physicians, administrative staff, and surgical facilities.
  • Works closely with Directors, Group Leaders, Team Leader's, Co-management Referral Service Manager and Training Program Director.
  • The annual completion of assigned Learning Management System (LMS) courses is mandatory. Any individual who has not completed their assigned training prior to November 30th of each year may be subject to disciplinary action, up to and including termination of employment.
