As the Regional Office Manager , you’ll bring that spirit to multiple locations— primarily supporting our Lehigh Valley campuses in Allentown, Bethlehem, Forks, and Wyomissing —while strengthening business office operations, mentoring Office Managers, ensuring payroll and billing accuracy, and providing on-site coverage during vacancies or high-need periods. This role offers meaningful variety and regular regional travel as you support regulatory readiness, quality measures, and consistent workflow practices. Schedule & Travel: Primarily Monday–Friday, 8:30 a.m.–5:00 p.m., with weekend/holiday payroll support, as needed. Approximately 60% travel , with Allentown as the home campus (minimum two days per week). Remaining days spent traveling to support our Bethlehem, Forks, and Wyomissing campuses; travel may increase during vacancies or vacation coverage.

Requirements

  • 3+ years of payroll processing experience , including timecard review, schedule management, corrections, and payroll submission within an HRIS (UKG preferred).
  • 2+ years of experience with FMLA, LOA, and workers’ compensation administration.
  • Strong administrative/business office experience; healthcare or long-term care experience preferred .
  • Proficiency with Excel, Word, email systems, and general office equipment.
  • Experience training, supervising, or onboarding staff strongly preferred.
  • High school diploma or GED required.

Responsibilities

  • Provide multi-site support to Business Offices and Executive Directors primarily at our Lehigh Valley communities in Allentown, Bethlehem, Forks, and Wyomissing.
  • Serve as a primary resource for Office Managers, offering guidance on billing, payroll, HR processes, and regulatory questions.
  • Adjust schedule as needed to provide coverage during vacancies, vacations, audits, and onboarding periods; travel is routinely required.
  • Deliver hands-on support at campuses to ensure continuity of operations, customer service, and compliance.
  • Maintain strong communication with regional leadership and ensure a secure backup plan at the home campus during absences.
  • Train new Office Managers in PCC (resident entry, billing), UKG (co-worker entry, payroll, WFM), workers’ compensation reporting, OSHA processes, and other core responsibilities.
  • Support Executive Directors and department heads by coaching office staff, participating in interviews, offering workflow improvements, and assisting with campus needs.
  • Participate in mock surveys, QMIs, audit preparation, and other quality initiatives across campuses.
  • Complete daily census updates, track bed counts, record admissions/discharges, and ensure accuracy in PCC.
  • Generate and review monthly statements, enter ancillary charges, handle past due accounts, and support collections follow-up.
  • Process LTC claims monthly and orient new residents/families to billing expectations.
  • Maintain petty cash, process revenue deposits, organize office financial records, and process accounts payable invoices.
  • Maintain accurate personnel files and HR records per policy and regulatory requirements.
  • Manage schedules, timecard edits, PTO, call-offs, and bi-weekly payroll approvals in UKG/WFM.
  • Process FMLA, LOA, OSHA incidents, workers’ compensation claims, unemployment claims, and return-to-work coordination.
  • Track 30/90-day reviews and ensure timely follow-up with department heads.
