About The Position

We are seeking a proactive and detail-oriented Referral Support Specialist to join our dynamic team. In this role, you will be responsible for managing and optimizing the flow of internal referrals across departments to ensure timely patient access to services, maximize conversion opportunities, and support overall sales performance. You will serve as a key liaison between internal teams, coordinate communication regarding referral status, and provide valuable insights to support strategic business development initiatives.

Requirements

  • Bachelor’s degree in Business, Healthcare Administration, or a related field (highly preferred)
  • 3+ years of experience in sales coordination, referral management, or healthcare administration
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency with CRM systems (Brightree highly desired), EMR platforms, and Microsoft Office Suite
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Detail-oriented with a strong customer-service mindset
  • Strong understanding of confidentiality and compliance standards

  • Experience within a medical service company preferred

Responsibilities

  • Referral Management Receive, track, and process internal referrals from clinical and administrative departments
  • Ensure timely and accurate assignment of referrals to appropriate sales representatives or service teams
  • Monitor referral pipelines and follow up to ensure completion and proper documentation
  • Process and coordinate out-of-state referrals for telehealth services
  • Communication & Coordination Serve as the primary point of contact for internal referral-related inquiries
  • Collaborate with clinical, administrative, and sales teams to resolve referral issues and improve workflows
  • Maintain accurate documentation and communication logs for all referral activity
  • Sales & Reporting Support Assist with generating reports related to referral volume, conversion rates, and performance metrics
  • Analyze referral data to identify trends and support growth strategies
  • Provide administrative support for sales campaigns, outreach efforts, and relationship management (including email and direct mail campaigns)
  • Partner with marketing to update sales collateral and manage inventory
  • Coordinate logistics and marketing support for trade shows and symposiums
  • Create and distribute monthly “Pop-by” materials
  • Process Improvement Collaborate with management to streamline referral processes and implement best practices
  • Recommend improvements based on data analysis and stakeholder feedback
