About The Position

Under minimal supervision, is responsible for coordinating patient appointments/tests/procedures with outside facilities/practices in an efficient and timely manner. Serves as a liaison between patients and medical staff.   May be designated as lead, with responsibilities including orientation, training and assignment of work to lower level employees. Supports and adheres to the New York Oncology Hematology Compliance Program, including the Code of Ethics and Business Standards.

Requirements

  • High school diploma or equivalent required .
  • Minimum two years office experience, preferably in a medical office setting.
  • Knowledge of medical terminology and coding .
  • Must have excellent communication skills, written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.

Responsibilities

  • Use EMR messaging or order module to obtain referral orders
  • Process orders placed for in/out of area referrals and VIR procedures.
  • Collect and fax required documentation to the outside facility
  • Coordinate with prior auth staff to determine if an authorization is
  • Provide patient with outside facility contact information
  • May schedule appointment directly with outside facility then communicate date and instructions to patient
  • May communicate to patient about procedures or tests being scheduled and potential prep work needed, inquiring about test specifics from necessary parties and gathering patient information as needed
  • Follow-up with patient and facility to obtain appointment date
  • Schedules outside appointments in computer scheduling system
  • Documents all communication and final appointment date or refusal in EMR
  • Record all referrals and status in Teams spreadsheet
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Follows policies and procedures to contribute to the efficiency of the front office.
  • Prepares correspondence, memos, forms and other typing as requested by supervisor.
  • May provide guidance and daily work direction to junior level staff.
  • Where applicable, basic understanding of medical terminology for tests and surgical procedures
