The Recruitment and HR Coordinator supports the museum mission by providing high quality administrative and operational HR support to employees and hiring managers. This role ensures smooth execution of HR processes across the employee lifecycle with a primary focus on recruitment. This position manages full cycle recruitment for a wide range of roles including administrative, curatorial, education, visitor services, facilities, and leadership positions while delivering an exceptional candidate experience that reflects the museum values and commitment to belonging, inclusion, and access for all. Requirements

  • Bachelor’s degree and at least two years of HR, people operations, or administrative experience, or an equivalent combination of education and experience
  • Strong organizational skills and attention to detail
  • Ability to handle sensitive information with discretion
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Commitment to a mission driven, public serving environment

Nice To Haves

  • Experience in a museum, nonprofit, cultural, or educational organization
  • Experience supporting volunteers, interns, or seasonal staff
  • Familiarity with HRIS or applicant tracking systems
  • Knowledge of nonprofit or grant funded HR compliance
  • HR certification or interest in pursuing certification

Responsibilities

  • Job Setup and Benchmarking Update and format job descriptions, verify grade levels and pay ranges, conduct internal and external benchmarking, and create job postings.
  • Recruiting Systems and Operations Create and update positions and requisitions in Paycom, manage application questions, post roles internally and externally, create email templates, and maintain recruiting and funding tracking documents.
  • Candidate and Hiring Support Build strong working relationships with hiring managers. Review resumes, assess candidate pools, conduct phone screens as needed, support interview scheduling, assist with interview questions, and complete reference checks.
  • Offers, Hiring, and Onboarding Recommend offer terms using benchmarking data, draft and send offer letters, process hires and personnel actions in Paycom, and send welcome communications.
  • Seasonal Workforce Support Support recruitment and onboarding for seasonal and temporary employees related to summer camps and major exhibitions, typically January, February, August, and September.
  • HR Administration and Records Initiate employee status changes including hires, promotions, and role changes Prepare HR reports and assist with data needed for recruiting, grants, audits, and leadership reporting
  • Benefits, Employee Support, and Engagement Serve as a first point of contact for employee and volunteer HR questions Assist with benefits enrollment, changes, and open enrollment communications Support employee and volunteer engagement efforts and training coordination
  • Compliance and Policy Support equitable and inclusive HR practices Assist with updating HR policies, handbooks, and internal communications Support labor, grant, or visa compliance documentation as needed
  • Projects and Continuous Improvement Assist with HR projects, system improvements, and process documentation Represent the museum at career fairs and recruitment events
