About The Position

The Recruitment & Compliance Administrator provides administrative support for the organization’s hiring, onboarding, and regulatory compliance processes. This role coordinates recruitment activities, manages pre-employment documentation, supports client records requests, monitors workforce compliance standards, and assists with staff timesheet oversight to ensure adherence to Colorado state regulations, federal law, Medicaid requirements, and organizational standards within a behavioral health setting. This position requires strong organizational skills, attention to detail, discretion in handling protected information, and working knowledge of healthcare compliance frameworks including HIPAA and 42 CFR Part 2.

  • Bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
  • 1-2 years of administrative, HR, healthcare, or compliance-related experience.
  • Must reside in or near the posting location.
  • Position requires office based work 2-3 days per week at the Lakewood or Centennial location.

Responsibilities

  • Post job openings on internal and external job boards in compliance with Equal Employment Opportunity (EEO) requirements.
  • Ensure recruitment practices comply with federal and Colorado anti-discrimination laws (Title VII, ADA, ADEA, Colorado Anti-Discrimination Act).
  • Maintain applicant tracking system (ATS) records and ensure proper documentation retention in accordance with federal and state record retention requirements.
  • Communicate with candidates regarding interview scheduling and application status.
  • Conduct initial screening interviews to assess alignment with organizational mission and role qualifications.
  • Ensure recruitment files are complete, audit-ready, and compliant with regulatory standards.
  • Support implementation of background screening requirements consistent with Colorado Behavioral Health Administration (BHA) and CDHS regulations.
  • Prepare and distribute offer letters and pre-employment documentation in compliance with federal and state employment laws.
  • Initiate and track background checks, reference checks, and required screenings in accordance with: Colorado Bureau of Investigation (CBI) requirements CDHS TRAILS background checks (if applicable) Medicaid provider enrollment standards
  • Verify and complete Form I-9 in compliance with federal immigration law and maintain proper retention procedures.
  • Ensure W-4 and state tax documentation are properly collected and secured.
  • Collect and verify professional licenses, certifications, and registrations; monitor expiration dates and ensure ongoing compliance with Colorado DORA requirements.
  • Maintain personnel files in accordance with Colorado labor law and federal employment regulations.
  • Support new hire onboarding logistics and orientation coordination.
  • Coordinate required onboarding trainings, including but not limited to: HIPAA 42 CFR Part 2 Mandatory reporting Trauma-informed care Medicaid compliance Workplace safety
  • Maintain training documentation and compliance logs to ensure audit readiness and onboarding requirements are completed by each staff member.
  • Verify authorizations and process client records requests in compliance with: HIPAA 42 CFR Part 2 Colorado mental health confidentiality laws
  • Track and document incoming and outgoing disclosures in accordance with federal and state privacy regulations.
  • Maintain secure storage and transmission of protected health information (PHI).
  • Coordinate with clinical and administrative teams to gather requested documentation while ensuring minimum necessary disclosure standards are met.
  • Review staff timesheets for completeness and compliance with organizational policies and Fair Labor Standards Act (FLSA) requirements.
  • Monitor submission deadlines and follow up on missing or incomplete timesheets to ensure payroll accuracy and compliance.
  • Support internal audits related to: Personnel file completeness Background checks Required training completion Medicaid workforce compliance standards
  • Maintain documentation required for potential state, Medicaid, or accreditation audits.
  • Assist leadership in preparing documentation for regulatory site visits, reviews, or compliance monitoring.
  • Monitor and track required labor law postings and ensure workplace notices meet federal and Colorado requirements.
  • Assist with tracking corrective action plans related to hiring or compliance findings.
  • Support implementation of internal compliance policies aligned with Colorado Behavioral Health Administration (BHA) standards and HCPF requirements.
  • Maintain documentation supporting Medicaid billing workforce eligibility requirements.
  • Support incident reporting documentation processes as directed.
  • Participate in internal compliance meetings as assigned.
  • Support special projects related to People Operations, compliance, and regulatory readiness.
  • Assist in policy updates and document control processes.
  • Provide administrative support during audits, accreditation reviews, or regulatory inspections.
  • Assist with workforce data reporting as required by state or federal agencies.
  • Perform additional administrative and compliance-related duties as assigned to support organizational operations and regulatory adherence.
