This role partners closely with recruiters, the travel team, hiring leaders, and senior executives to ensure seamless coordination across all stages of the talent acquisition process. The ideal candidate is highly organized, adaptable, and comfortable operating in a fast-paced, dynamic environment where priorities and expectations may evolve.

Requirements

  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent communication and interpersonal skills; comfortable interacting with senior leaders and external candidates.
  • High level of professionalism, discretion, and attention to detail.
  • Ability to thrive in a fast-paced environment with changing expectations.
  • Experience in recruiting coordination, HR, or a related administrative role preferred.

Responsibilities

  • Plan, coordinate, and host new hire orientation sessions to ensure a smooth and welcoming onboarding experience.
  • Serve as a point of contact for new hires, addressing logistics, schedules, and day-one needs.
  • Act as a liaison between the travel team and recruiters to coordinate candidate travel arrangements.
  • Ensure candidates experience a seamless, professional, and positive journey throughout the interview process.
  • Schedule interviews for high-level candidates, including those meeting with Vice Presidents and executive leadership.
  • Manage complex calendars and shifting priorities with discretion and attention to detail.
  • Escort VP-level and executive candidates during onsite interviews, ensuring a polished and professional experience.
  • Plan and support talent acquisition events, including recruiting events, career fairs, and networking sessions.
  • Coordinate logistics, schedules, and on-site support to ensure events run smoothly and align with branding and hiring goals.
  • Demonstrate flexibility and adaptability as business needs evolve.
  • Take on new responsibilities and support additional talent acquisition initiatives as expectations and priorities change.
  • Supports full-cycle recruitment for entry-level roles under guidance
  • Assists hiring managers by coordinating interviews and communicating basic role requirements
  • Sources candidates through job boards, LinkedIn, and employee referrals
  • Conducts initial candidate screening and schedules interviews
  • Maintains accurate records in the applicant tracking system (ATS)
  • Ensures candidates receive timely updates and a positive experience
  • Sources talent broadly and supports hiring practices that ensure a diverse and productive workforce
  • Posts jobs and assists with employer branding on social platforms
  • Performs other job-related duties as assigned
