We’re looking for a Recruiting Coordinator who can help us move fast, stay organized, and deliver a world-class experience to every candidate who walks through our doors. As a Recruiting Coordinator, you will play a key role in our hiring operations by ensuring a seamless and efficient recruiting process. You’ll partner closely with recruiters, hiring managers, and candidates, manage high-volume scheduling, and maintain data accuracy within Ashby. The ideal candidate thrives in a fast-paced environment, communicates clearly, and takes pride in creating a positive and professional experience for every candidate.

Requirements

• Experience in recruiting coordination, HR coordination, or operations support (startup/high-growth environment preferred)
• Strong familiarity with ATS platforms; experience with Ashby is a plus
• Exceptional organizational skills and attention to detail
• Excellent written and verbal communication skills
• Ability to manage competing priorities with speed, professionalism, and accuracy
• This role requires working onsite in Palo Alto five days a week
• Ability to maintain confidentiality and handle sensitive information with discretion
• Proactive, resourceful, and committed to delivering an outstanding candidate experience

Responsibilities

• Coordinate and schedule phone screens, onsite interviews, and virtual interviews across multiple time zones
• Facilitate onsite interviews, including preparing and organizing interview rooms, ensuring all equipment is tested and functioning properly, and supporting smooth day-of interview logistics
• Manage all interview logistics, including rooms, materials, and candidate support
• Serve as the primary point of contact for candidates throughout the interview process, ensuring timely communication and a welcoming experience
• Maintain accurate and up-to-date candidate information in Ashby
• Create and send offer letters, collect required documentation, and support pre-boarding logistics
• Ensure consistent, accurate tracking of candidate progress through each stage of the pipeline
• Partner closely with recruiters and hiring managers to align on interview processes and scheduling needs
• Help manage weekly hiring reports, dashboards, and recruiting metrics
• Support coordination for hiring events and internship program activities.
• Assist with process improvements to streamline and enhance the recruiting workflow
