About The Position

Instacart’s Recruiting Operations & Enablement team is building a modern, tech-enabled recruiting engine that blends human expertise with automation to connect exceptional talent to meaningful work. As a Recruiting Associate, you will enable a healthy, high-velocity top-of-funnel and help shape how we attract, evaluate, and engage candidates across the company. In this role, you’ll partner closely with recruiters to open jobs in Greenhouse, review inbound applicants, referrals, and internal candidates, conduct recruiter phone screens, and proactively source talent - while also ensuring strong ATS hygiene, building candidate materials, and championing a best-in-class candidate experience that reflects our culture and values. You will also operationalize and scale the use of our recruiting tech stack (like Covey, Brighthire, Modernloop, LinkedIn) to ensure processes are structured and data is accurate, leveraging AI & automation to allow the team to move more efficiently and effectively. It will blend core recruiting skills (managing top of funnel) with operational rigor and tooling expertise. This role is remote within the United States and Canada and collaborates cross-functionally with recruiters, recruiting coordinators, operations partners, and hiring managers. Please note: This is an hourly contract role starting with a 6-month contract, and must be based in the US or Canada.

Requirements

  • 2+ year of experience in a sourcing or recruiting capacity.
  • 1-3 years of professional experience, preferably within HR/Talent Acquisition or an operations role.
  • Experience conducting recruiter phone screens and documenting structured feedback.
  • Experience reviewing and prioritizing high-volume inbound applicants across multiple roles.
  • Excellent verbal and written communication skills with a professional, candidate-centric approach.
  • Strong organizational skills and attention to detail; able to manage multiple requisitions and deadlines in a fast-paced environment.
  • Proven ability to problem-solve and execute solutions in a timely manner.
  • Remote-eligible within the United States and Canada.

Nice To Haves

  • Experience working in Greenhouse (ATS) with strong ATS hygiene and reporting habits.
  • Experience with inbound application review and sourcing tools such as Covey, Gem, and LinkedIn Recruiter.
  • Background supporting high-volume recruiting environments.
  • Familiarity with Modernloop and Brighthire or similar interview automation and intelligence tools.
  • Collaborative team player comfortable partnering with multiple stakeholders simultaneously.
  • Process-driven mindset with a focus on continuous improvement and operational efficiency.
  • Flexibility to shift tasks and priorities based on evolving hiring needs and business demands.

Responsibilities

  • Manage the job opening process from Workday to Greenhouse
  • Calibrate hiring profiles with recruiters and hiring managers to translate requirements into screening criteria and/or sourcing strategies
  • Own the top of funnel review process, including high-volume inbound applicants, referrals, and internal candidates within defined SLAs
  • Conduct / facilitate recruiter phone screens to evaluate skills and role alignment and determine fit for role
  • Proactively source and engage top talent through Covey, LinkedIn, Gem, and other platforms and generate pipeline insights
  • Ensure operational excellence with meticulous ATS hygiene
  • Build candidate-facing materials and prep guides that clearly communicate process, expectations, and the Instacart story
  • Identify process gaps and pilot improvements within our tech stack to help the broader team work smarter, faster, and at scale
