About The Position

The purpose of this position is to accurately maintain all personnel and medical files for past and current Publix associates, as well as processing minor work permits as mandated by each state. This position uses analytical skills to review documentation and determine eligibility to work for minor associates based on established guidelines; analyzing requests for records from various departments across Publix, including responding to Third Party Non-Personal Health Information (PHI) Subpoenas and providing worked hours missed with rate of pay requests; and opening, distributing, and organizing all mail received in the department to ensure the documents are placed in the appropriate personnel file.

Nice To Haves

  • 1 year working in an office environment or equivalent experience
  • knowledge of the organizational structure, employee groups/subgroups, personnel areas, and other associate information located in SAP
  • knowledge of the minors process as it relates to employment eligibility dictated by each state’s Department of Labor
  • knowledge of other business area processes to better assist with opening mail and answering phone calls
  • basic skills in Microsoft Access
  • basic skills in SAP, ViewStar, HOST, Manager's Self Service (MSS), Oasis, TOR, Publix Connection, AIMS, CARTS, and Brass Ring

Responsibilities

  • receiving and reviewing minor documentation and determining employment eligibility based on established guidelines for each state government
  • distribution and completion of all internal requests for associate records within a 4-hour response timeframe
  • answering assigned phone skillsets to act as a liaison to support cross-functional department processes and provide support for the minors processes to all Publix associates
  • opening, distributing, and organizing all mail received in the department to ensure the documents will be scanned into the appropriate electronic personnel file
  • completing various reports and documentation reviews related to minor associate eligibility and employment records
