The Department of Economic Security, Office of the Director, is seeking an experienced and highly motivated individual to join our team as a Records Program Administrator. This position oversees the agency’s Public Records Request system and Records Management program, ensuring efficient, compliant handling of records across all divisions. This role leads to cross-functional coordination to resolve records-related issues, manages system improvements and upgrades, and enhances user experience through training and support. The Administrator supervises daily public records operations, ensuring timely and accurate fulfillment in accordance with applicable laws and policies, while providing leadership to Records Unit staff. This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures. Requirements

  • Knowledge of programs Administered by the Department.
  • Knowledge of Departmental rules, regulations, policies, and procedures; federal and state laws relating to public records.
  • Knowledge of Function and capability of public records requests processing systems and general system administration principles.
  • Knowledge of Methods of qualitative and quantitative data analysis.
  • Knowledge of Principles and practices of management and supervision.
  • Skills In Reading, understanding, and interpreting complex federal and state laws and regulations.

  • Skills In Troubleshooting and coordinating system issue resolution.

Nice To Haves

  • Bachelor's Degree (advanced degree preferred) in Public Policy, Public Administration, Law, Political Science, or related field.
  • At least five (5) years of relevant professional experience in a leadership position with a focus on human services policy and program design and implementation.

Responsibilities

  • Lead and oversee daily operations of the DES Records Unit, including records management, public records request fulfillment, and administration of the Public Records Request system.
  • Guide divisions on records retention, compliance, and timely fulfillment of public records requests.
  • Supervise staff, including performance management, workload oversight, and professional development.
  • Serve as the primary point of contact for system issues; troubleshoot, coordinate resolutions, and support user training in partnership with DTS and DBS.
  • Drive continuous improvement by identifying system enhancements, researching best practices, and recommending upgrades to records processes and technology.
  • Develop reports and performance metrics, while strengthening collaboration through training, stakeholder support, and cross-divisional partnerships.
