The Records Management Administration Specialist provides professional support for records management operations, compliance activities, and administrative program functions. This role supports the development and implementation of records management plans, coordinates document lifecycle activities, and ensures alignment with applicable federal records regulations and archival requirements. The position also supports administrative analysis, reporting, and procedural development activities. Requirements

  • Approximately four (4) years of experience in records management, administrative analysis, or related program support functions.
  • Familiarity with federal records management guidance, including NARA and Federal Records Center (FRC) processes.
  • Experience tracking and managing documents through lifecycle stages.
  • Experience developing or reviewing administrative procedures.
  • Proficiency in database management and data entry systems.
  • Ability to perform quality control and inventory reconciliation activities.
  • Strong organizational and analytical skills.
  • Ability to handle sensitive or classified information, if required.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.

Responsibilities

  • Support records management activities in accordance with federal guidance and organizational policies.
  • Assist in the preparation of records management plans, reports, and compliance documentation.
  • Coordinate schedules to facilitate proposal preparation, contract deliverables, task order reviews, briefings, and in-process reviews.
  • Analyze, develop, and review program administrative operating procedures.
  • Coordinate and track document requests in alignment with National Archives and Records Administration (NARA) and Federal Records Center (FRC) guidance.
  • Coordinate classification reviews and support classified document handling processes as required.
  • Submit documents for archiving or disposition and track status within database systems.
  • Respond to customer requests for document retrieval or records assistance.
  • Prepare expired records for destruction in accordance with established retention schedules.
  • Record receipt, storage, indexing, and tracking of records.
  • Populate and maintain records databases; perform database queries and reconciliations.
  • Conduct quality control reviews of box contents and perform inventory reconciliations.
  • Provide classified mail services, as required.
  • Ensure compliance with applicable records retention policies, federal regulations, and security requirements.
