The Records & Information Governance Specialist I supports the daily operations of Syneos Health’s global Records & Information Governance (RIG) program. This role ensures that corporate, clinical, and operational records are created, maintained, and retained in accordance with regulatory, legal, and internal policy requirements. The Specialist works closely with business units to promote compliant information practices, support audits and inspections, and maintain the integrity and accessibility of both physical and electronic records.

Requirements

  • High school diploma; or equivalent education and experience.
  • Some experience providing specialized administrative support.
  • Experience in RIM or related field such as Library Science, preferably in life sciences industry.
  • Excellent oral and written communication skills.
  • Excellent interpersonal skills.
  • Ability to establish and maintain effective partnerships and working relationships.
  • Proficiency with Microsoft Office suite.
  • One-three (1-3) years of progressively responsible experience

Nice To Haves

  • Working knowledge of electronic document management systems, databases, and other Information Technology systems is preferred.

Responsibilities

  • Support the archive management of physical and electronic records, including creation, classification, indexing, storage, retrieval, retention, and secure disposition.
  • Assist with the maintenance of enterprise repositories such as network drives, and physical archives.
  • Ensure records are accurately captured and stored according to established metadata, taxonomy, and retention standards.
  • Process requests for record retrievals, transfers, and secure destruction in accordance with approved procedures.
  • Assist in ensuring compliance with global regulatory and legal frameworks, including: Clinical & Biopharmaceutical Requirements, FDA 21 CFR Part 11 (electronic records & signatures), GCP/GLP records requirements, GDPR (EU/UK), HIPAA (where applicable), CCPA/CPRA and other global privacy laws, Litigation hold and eDiscovery support, Contractual retention obligations.
  • Support updates to the Records Retention Schedule by researching regulatory requirements and documenting changes.
  • Assist with preparation for FDA, EMA, MHRA, and internal audits related to records and information governance.
  • Help gather documentation, verify record completeness, and ensure repositories meet inspection-ready standards.
  • Support corrective and preventive actions (CAPA) related to RIG findings.
  • Help implement policies, procedures, and standards related to records management, retention, privacy, and information governance.
  • Participate in data cleanup, classification, and migration activities to support system upgrades and digital transformation initiatives.
  • Assist with monitoring compliance across business units and escalating issues as needed.
  • Provide basic guidance to employees on records management procedures, retention requirements, and proper use of repositories.
  • Support the development and delivery of training materials and awareness campaigns that promote information stewardship.
