We're looking for an exceptional Records & Reports Coordinator to be the operational backbone of our team. This is a critical administrative role where your attention to detail, organizational skills, and professionalism will directly impact our daily success, from managing essential documents to supporting our dive unit operations.

Requirements

  • 2-3+ years of experience in an administrative, front-desk coordination, or office support role, preferably in a fast-paced or operations environment.
  • Expert-level competency in Microsoft Office Suite (Outlook, Word, Excel) is mandatory.
  • Impeccable attention to detail and meticulous accuracy for data entry and safety documentation.
  • Proven, strong organizational skills with practical experience managing digital and physical document filing structures.
  • Exceptional written and verbal communication skills with a professional demeanor for managing visitors and drafting clear correspondence.
  • High School Diploma or equivalent required.

Responsibilities

  • Monitor and respond to designated emails, draft professional correspondence, and triage critical issues or media to the correct department managers.
  • Implement, maintain, and retrieve documents within complex digital filing structures (including specialized software) and physical archives.
  • Compile reports and video footage submitted by our dive teams for internal review, and prepare external media (e.g., uploading files to flash drives) for client or partner distribution.
  • Organize and track daily/weekly job safety toolboxes for management oversight, requiring meticulous accuracy.
  • Provide general clerical support (copying, data entry) and assist with the inspection of dive units upon crew load-in or deployment.
