About The Position

The role of the Receptionist is to maintain smooth daily operations at the front desk, including opening/closing procedures, phone and voicemail communication, fax and document processing, mail handling, inter-office courier coordination, clerical support functions, supply management, and client-related documentation tasks. This position supports multiple programs and staff, ensuring timely, accurate, and confidential workflow.

Requirements

  • High school diploma or GED and one year receptionist/office support experience or combination of equivalent experience and training.

Responsibilities

  • Complete all opening duties by 8:00am and closing duties by 4:30pm.
  • Follow established checklist for security, equipment, mail, and workspace setup.
  • Perform monthly hotel cube supply audits and restocking.
  • Answer incoming calls promptly and professionally.
  • Greet guests, provide information, and ensure a professional first impression.
  • Follow routing procedures for Ramsey Targeted Case Management (RCTCM), Ramsey Assertive Community Treatment (RACT), and Housing Voucher Program (HVP) coverage.
  • Correctly escalate emergency or urgent calls.
  • Correctly attach medical records, discharge papers, medication lists, and other items into MHR's electronic medical record (EMR).
  • Date-stamp, sort, and distribute all daily incoming mail.
  • Process outgoing mail twice daily and manage high-volume mail periods.
  • Process and mail Release of Information (ROI) documents three times per week following strict signature/date requirements.
  • Assemble intake folders for assigned programs using master templates.
  • Track low supplies and place timely orders.
  • Provide general administrative support to program staff as assigned.
