About The Position

Kiewit's Eastern District is looking for an Receptionist for our District Office to handle a variety of tasks from answering inbound phone calls, support office management, coordinate meetings, among other simliar duties. District Overview Kiewit's Eastern District specializes in challenging heavy civil construction projects throughout the Northeast, including the metropolitan areas of New York, Chicago, Boston, and Washington DC. We are leaders in bridge, transit, foundation, tunnel, and water/wastewater construction while specializing in cast-in-place concrete, structural steel erection, earthwork, pile driving, and caissons. Kiewit's Eastern District also has a large amount of work in the energy/power sector in various northeast locations. With our experienced and dedicated employees, extensive resources and in-depth market knowledge, the Eastern District can handle projects of any size. Location This position will be located at our Woodcliff Lake, NJ office.

Requirements

  • Basic computer knowledge and data entry skills, Microsoft Office (Word and Excel) experience
  • High School Diploma/GED
  • Excellent communication skills (verbal and written)
  • Excellent organizational and time management skills
  • Must be able to multi-task and prioritize
  • Detail-oriented with strong analytical skills
  • Regular, reliable attendance
  • Work productively and meet deadlines timely
  • Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment
  • Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies.
  • Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required.
  • May work at various different locations and conditions may vary

Responsibilities

  • Managing the front desk; directing emails, calls and all onsite visitors.
  • Manage calendars of office executives.
  • Assist in office management, supplies and delivery placement
  • Assisting with planning and setting up for District events.
  • Managing vendor management for supplies and District events.
  • Coordinate and arrange meetings including agenda preparation, meeting invitations, reserving and preparing facilities and resources, and arranging offsite meetings as requested.
  • Maintain contact list and calendars in Outlook.
  • Arrange and coordinate travel schedules and reservations.
  • Maintain various logs, reports and templates.
  • Data entry and other office administrative tasks.
