About The Position

This position will be responsible for greeting visitors and making them comfortable while waiting.  This position will operate a busy multi-line Voice Over Internet Protocol (VOIP) telephone system.  The Receptionist will answer incoming calls and direct the callers to the appropriate personnel.

Requirements

  • High School Diploma or General Education Development (GED) certification
  • 1-3 years’ related experience; or equivalent combination of education and experience
  • Demonstrated computer proficiency (MS Office 365 – Word, Excel, PowerPoint and Outlook)
  • Ability to understand and execute emergency protocols on jobsites and offices, if needed
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Consistent professionalism, friendliness, and punctuality
  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to use time productively, maximize efficiency and meet challenging work goals
  • Ability to maintain compliance with all company policies and procedures
  • Ability to exercise confidentiality when receiving confidential or sensitive information via fax or mail

Responsibilities

  • Answers incoming telephone calls, determines the purpose of the call, and forwards the call to the appropriate personnel or department.
  • Retrieves messages from night voice mail and forwarding to appropriate personnel.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and gives our parking validation tickets when needed.
  • Logs daily checks for accounting department.
  • Tracks and logs packages as they are received and delivered to the appropriate employees in the building.
  • Monitors visitor access in person and by operating remote access cameras.
  • Maintains a neat, professional lobby and reception area throughout the day.
  • Receives, sorts, and routes mail as appropriate.
  • Receives packages/drawings and distributes them in a timely manner.
  • Prints memos, correspondence, reports, and other documents when necessary.
  • Orders and maintains coffee and beverage supplies.
  • Gathers weekly subcontractor address updates and distributes to internal staff.
  • Packages shop drawings, submittals, blue lines, etc., for delivery to subcontractors, architects, and remote personnel.
  • Prepares outgoing afternoon mail and packages during Operational Services team members’ absence.
  • Performs other clerical duties as needed such as filing sub lists, photocopying, collating, assembling tabs, data entry, etc.
  • Assists the Office Manager and Operational Services Team, Project Coordinators, and others in the office as needed for various projects.
  • Performs other duties as assigned.
