About The Position

The Receptionist is a professional and friendly individual responsible for providing excellent customer service to visitors, clients, and employees while managing administrative tasks efficiently.

Requirements

  • High School Diploma or GED required.
  • Proven experience in the construction industry.
  • Previous experience in receptionist or customer service role.
  • Effective communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment.
  • Positive attitude, self-motivated, and dedicated to providing exceptional customer service.
  • Basic computer skills using Microsoft Office Suite (Word, Excel, Outlook, etc....).

Nice To Haves

  • 4 to 6 years’ additional education or training in office administration or customer service.
  • Previous distribution center experience in receptionist or customer service role.

Responsibilities

  • Greet visitors, clients, and employees as they arrive at the distribution center in a courteous and professional manner.
  • Answer phone calls, take messages, and redirect calls to appropriate individuals or departments as needed.
  • Manage the reception area, ensuring it is clean, organized, and always welcoming.
  • Assist customers with inquiries regarding slab availability, pricing, and product information.
  • Provide guidance to customers on navigating the distribution center and locating specific slabs or materials.
  • Address customer concerns or complaints promptly and escalate issues to the appropriate department or manager when necessary.
  • Schedule appointments for customers to view slabs, meet with sales representatives, or discuss project requirements.
  • Coordinate appointment times with customers and sales team members to ensure availability and accommodate scheduling preferences.
  • Maintain an organized calendar of appointments and notify relevant parties of any changes or cancellations.
  • Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents.
  • Process paperwork related to slab orders, invoices, and payments accurately and efficiently.
  • Update and maintain customer records, contact information, and other relevant data in the company's database or CRM system.
  • Assist with inventory management tasks, including receiving and inspecting incoming slabs, tagging and labeling inventory, and updating inventory records.
  • Collaborate with warehouse staff to ensure accurate inventory counts and efficient organization of slabs within the distribution center.
  • Monitor access to the distribution center and ensure that all visitors sign in and receive appropriate identification badges.
  • Adhere to safety protocols and procedures, including maintaining a clean and hazard-free reception area.
  • Report any safety or security concerns to management immediately.
