About The Position

This position reports to the Executive Office Administrator and is part of the corporate administrative team. The Receptionist will greet clients/direct visitors, process incoming/outgoing mail and packages, oversee scheduling of conference rooms, order supplies for the office, and general administrative office duties. The duties listed below are intended only as illustrations of the various types of work that could be performed. Requirements

  • High School Diploma
  • Background in customer service, multitasking and office environment
  • Knowledge of Microsoft Office Software, BroadWorks Receptionist telephone system software, knowledge of operation of office equipment
  • Work evening and weekend hours as needed.
  • Travel as needed.

Responsibilities

  • Act as primary receptionist, answers, and forwards incoming calls, greets clients and visitors and directs them to appropriate corporate office employee(s)
  • Manage the Outlook General Info inbox and the Outlook Receptionist inbox/voicemails.
  • Receives/opens/sorts/distributes daily incoming mail and packages and processes daily outgoing mail and packages.
  • Assists with scheduling when necessary and management of daily conference rooms calendar and appearance of conference rooms.
  • Coordinates scheduled maintenance and refilling of Pitney Bowes postage meter.
  • Assists with managing Iron Mountain storage online inventory, retrieving and returning file boxes as needed.
  • Order/receive/distribute/restock office, medical and cleaning supplies for corporate office, Café Venti, supply rooms, and conference rooms.
  • Coordinate coffee and vending machine services with Aramark for Break Rooms.
  • Coordinate and maintain the Shred-It services for the corporate office for secure recycling of confidential documents.
  • Assists with special projects assigned by management.
