About The Position

The Receptionist is the first point of contact for our customers, providing exceptional service and support while managing office operations. The receptionist plays a vital role in enhancing our customer experience and supporting our mission of excellence.

Requirements

  • Strong verbal and written communication skills
  • Excellent organization and time management skills
  • Proficiency with office software (e.g., Microsoft Office Suite) and multi-line phone systems
  • Ability to work independently and manage multiple priorities
  • Commitment to confidentiality and discretion in handling sensitive information
  • Current, valid California Driver’s License and clean driving record (Driving is an essential function of this position)

Responsibilities

  • Front Desk & Visitor Management
  • Greet and welcome visitors in a professional and courteous manner
  • Determine the nature of visitors’ business and direct them to the appropriate person or department
  • Maintain visitor logs, issue visitor badges, and follow security protocols
  • Telephone & Communication Management
  • Answer, screen, and route incoming calls promptly and courteously
  • Take accurate messages and deliver them in a timely manner
  • Provide basic information to callers regarding company products, services, and procedures
  • Administrative & Clerical Support
  • Maintain a clean, organized, and professional reception area
  • Receive, sort, and distribute incoming mail, packages, and deliveries
  • Prepare and send outgoing mail and packages
  • Assist with basic data entry, filing, copying, scanning, and document preparation
  • Provide general administrative support to other departments as needed
  • Perform special projects and other related duties as assigned by management
  • Scheduling & Coordination
  • Manage conference room reservations and assist with meeting arrangements
  • Schedule appointments and maintain calendars for designated staff or departments
  • Office Support, Supplies & Cleaning
  • Monitor and order office supplies for the front desk and common areas
  • Coordinate with vendors for office equipment maintenance as needed
  • Perform light office cleaning duties, including the reception area, breakroom, and restroom facilities to ensure a neat and sanitary environment
  • Compliance & Confidentiality
  • Follow all company policies and procedures, including safety and security protocols
  • Handle confidential or sensitive information with discretion
  • HR Assistance & Employee Engagement Support
  • Provide administrative support to the Human Resources department with routine HR tasks and projects
  • Assist with maintaining employee records, including filing, scanning, and organizing HR documentation in accordance with company confidentiality and record-retention requirements
  • Support onboarding logistics for new hires, including preparing welcome materials, coordinating orientation schedules, and ensuring required documentation is collected
  • Assist with uploading employee information within HR systems as directed by HR leadership
  • Support internal communications by distributing HR announcements, notices, and company updates to employees as directed
  • Provide basic assistance with employee requests and direct employees to appropriate HR resources or personnel when needed
  • Assist with maintaining the employee recognition platform (Awardco) by updating employee user accounts and ensuring accurate employee access
  • Post company announcements, recognition campaigns, and HR communications to the Awardco platform as directed by HR leadership
  • Run and export basic reports from the Awardco platform to support HR reporting and engagement tracking
  • Provide logistical support for employee engagement initiatives, recognition events, and company celebrations
  • Perform other HR administrative duties as assigned by HR leadership
  • Other duties as assigned
