About The Position

The receptionist serves as the first point of contact for all Smith customers, vendors, and visitors, and plays a key role in maintaining a positive image of the company. This role is responsible for greeting guests, front desk administration, and entry level support for the Accounting and Operations Departments.

Requirements

  • Experience in a fast-paced environment, with multi-line phone experience preferred
  • Experience in data entry preferred
  • High School Diploma or Equivalent
  • Adherence to the following dress code: Acceptable attire includes neat slacks, blouses, sweaters, shirts with collars, skirts/dresses, jeans, and Smith polos. However, please refrain from wearing t-shirts, jeans with holes, shorts, or sweatshirts.
  • Ability to lift up to 35lbs

Responsibilities

  • Greet visitors upon arrival, offer refreshments, and escort to meetings as needed
  • Assist visitors with the Smith Visitor Sign In process, including but not limited to: visitor ID verification, issuing temporary visitor badge, notifying appropriate personnel and ensuring the visitor is escorted at all times on Smith premises
  • Answer incoming telephone calls in a professional and courteous manner and connect callers to appropriate extensions
  • Prepare and complete Accounts Receivable mail outs as applicable
  • Sort and deliver incoming mail to appropriate departments
  • Assist the Accounting and Operations departments with data entry as needed
  • Itemize and submit invoices or credit card statements for payment
  • Maintain POD – Post Worldwide Delivery – FedEx, UPS, DHL etc. accounts
  • Track Worldwide Shipments - FedEx, UPS, DHL etc. and provide updates as necessary
  • Order office supplies, drinks, and snacks for all departments and offices as applicable
