About The Position

The Receptionist provides a welcoming first point of contact, answering a multi-line phone system promptly, greeting and directing visitors, and delivering high-quality administrative and clerical support to ensure smooth daily operations.

Requirements

  • High School Diploma or GED required.
  • At least 1 year of related work experience in reception, front desk, or administrative support.
  • Excellent customer service skills with a professional and welcoming demeanor.
  • Strong communication skills, both verbal and written.
  • Ability to multi-task and manage competing priorities in a busy environment.
  • Proficiency in word processing and spreadsheet software, including the ability to generate form letters and memos.
  • Proficiency in word processing, spreadsheet, and database software, with the ability to create spreadsheets and databases.
  • Good working knowledge of English, including spelling, grammar, and punctuation.
  • Ability to operate standard office machines and equipment.
  • Demonstrated experience with Microsoft Office and data entry.

Nice To Haves

  • Experience in front desk, customer service, or administrative support roles for 1 or more years.
  • Strong organizational skills with attention to detail.
  • Ability to remain calm, courteous, and efficient when handling multiple calls or visitors.
  • Comfort working in an educational or campus environment and interacting with students.
  • Ability to work independently while also collaborating effectively with campus leadership.

Responsibilities

  • Answer and manage a multi-line phone system, routing calls promptly and accurately to the appropriate person or office.
  • Respond to incoming calls within an average of 4 to 5 seconds to maintain a high standard of customer service.
  • Greet visitors in a professional manner, determine the purpose of their visit, and notify or direct them to the appropriate person or office.
  • Monitor visitor activity in the lobby to help maintain a professional and orderly reception area.
  • Perform general clerical duties, including faxing, addressing correspondence, and providing word processing support as needed.
  • Receive, sort, and distribute incoming mail and other deliveries.
  • Use word processing and spreadsheet software to generate form letters, memos, and basic documents.
  • Operate standard office machines and equipment to support daily administrative tasks.
  • Maintain accurate data entry and basic administrative records as required.
  • Provide courteous and efficient customer service to students, staff, and visitors at all times.
