Position Summary: Under direct supervision, performs diversified routine clerical duties including answering the phones, faxing, filing, and compiling/verifying/posting data, and supporting the program.

Requirements

  • HS Diploma or GED
  • Prior experience working at the front desk or in customer service.
  • Work well with others and independently.

Responsibilities

  • Sign in addiction recovery clients and direct other clients to the correct location.
  • Verify financial information in avatar.
  • Covers front desk at site daily.
  • Enter applications into My Avatar
  • Verify and keep track of client payments.
  • Verify insurance coverage for all Medicaid clients at check in.
  • Complete fee sets.
  • Close and reconcile the front desk at the end of each shift.
  • Answer multi-line phones, manages incoming calls, responds to front line inquiries about service available, participation requirements, insurance eligibility, transfer calls to the appropriate place, etc.
  • Perform daily reminder calls for intake appointments and prescriber's appointments.
  • Assist with prior authorization-make sure they are completed before submitting to avoid unnecessary denials, call the pharmacies to ensure everything has been received, inform them when approval is received and follow up with insurance companies.
  • Filing lab results.
  • Responsible for closing charts for discharged clients.
  • Make bank deposits for front desk when needed.
  • Post and proof daily schedules.
  • Distribute faxes.
  • Assist with any projects given by the office manager.
  • Cover front desk at various sites when short staffed and/or assist other programs in the building.
  • General work duties including but not limited to, sending ARS faxes, taking incoming faxes, and forward to appropriate person/program, distribute incoming mail when needed, replenishing paper in fax and copy machines.
