The Front Desk Receptionist serves as the first point of contact for residents, board members, vendors, and visitors to the HOA management office. This role is responsible for providing professional, courteous service while supporting daily administrative operations and helping ensure efficient communication between residents and management.

Requirements

  • High school diploma or equivalent
  • 1+ year of receptionist, customer service, or administrative experience
  • Strong verbal and written communication skills
  • Proficient in Microsoft Office (Outlook, Word, Excel)
  • Professional demeanor with strong customer service skills

Nice To Haves

  • Experience in property management, HOA, or real estate environment preferred
  • Familiarity with property management software
  • Bilingual (a plus, not required)
  • Excellent interpersonal and communication skills
  • Strong organizational and time-management abilities
  • Ability to multitask and prioritize in a fast-paced office environment
  • Attention to detail and discretion with confidential information
  • Dependable, punctual, and team-oriented

Responsibilities

  • Greet residents, board members, vendors, and visitors in a professional and friendly manner
  • Answer and direct incoming phone calls and emails appropriately
  • Respond to general inquiries regarding accounts, maintenance requests, forms, and community procedures
  • Maintain a welcoming and organized front office environment
  • Receive, log, and distribute incoming mail, packages, and deliveries
  • Assist with data entry, filing, scanning, and document management
  • Prepare and distribute notices, letters, and general correspondence as directed
  • Maintain office calendars, meeting room schedules, and visitor logs
  • Assist residents with accessing forms, applications, basic account information, and parking/pool passes
  • Track and route maintenance requests or concerns to the appropriate manager
  • Support board meetings and community events as needed (sign-in sheets, materials, copies)
  • Coordinate vendor arrivals and notify management of on-site services
  • Maintain office supply inventory and submit restocking requests
  • Follow office procedures related to confidentiality, records, and resident information
