Job Summary:The Receptionist/People Operations (PO) & Accounting Assistant performs administrative tasks to support the effective operations of the organization's people operations and accounting departments. This role is also responsible for greeting, assisting, and providing direction and information to clients, visitors, and other guests of the organization. The position ensures smooth workflow, accurate record-keeping, and compliance with organizational policies across administrative, accounting, and HR functions.

Requirements

  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Excellent organizational skills and attention to detail
  • High level of deductive reasoning to progress from general ideas to specific conclusions
  • Proficient with or able to quickly learn accounting, payroll management, human resource information system (HRIS), and similar computer applications
  • Basic understanding of administrative and clerical procedures and systems
  • High skill level with Microsoft Word, Excel, and other Office Suite applications
  • High school diploma or equivalent required
  • Prior related office experience preferred

Responsibilities

  • Greet clients, visitors, and guests; determine the purpose of each visit and direct or escort individuals to the appropriate location
  • Receive mail, documents, packages, and courier deliveries and deliver or distribute items
  • Perform administrative and clerical support tasks, including basic filing and recordkeeping for both PO and Accounting
  • Maintain accurate and up-to-date human resource files, records, and documentation
  • Answer frequently asked questions from applicants and employees regarding standard policies, benefits, and hiring processes; refer complex questions to senior PO staff or management
  • Maintain the integrity and confidentiality of people operations files and records
  • Perform periodic audits of PO files and records to ensure all required documents are collected and filed appropriately
  • Assist and coordinate the DOT driver program
  • Provide clerical support to the PO department
  • Assist with payroll functions, including processing, answering employee questions, correcting processing errors, and distributing checks
  • Conduct or assist with new hire orientation
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
  • Enter accounting data and adjustments into financial accounting software
  • Coordinate the company credit card process, including statement review, distribution, and collection of information from end users for entry into the accounting software
  • Handle light customer billing
  • Assist with ad hoc projects and reports within accounting, recruitment, employee relations, and organizational planning
  • Review data and information for accuracy and make corrections when necessary
  • Produce reports and statistical data as needed
  • Perform administrative and secretarial duties as required
  • Perform other duties as assigned
