About The Position

Please note, the location for this role will fluctuate between both of our Chicago office locations at 55 E. Monroe and 77 W. Wacker, depending on the needs. Your responsibilities include, but are not limited to:

Requirements

  • High school diploma (or equivalent)
  • Proficiency in Microsoft 365
  • Prior experience should include working in a production environment, meeting established production and accuracy goals, with the ability to maintain focus on quality of details
  • Professional attitude and appearance
  • Solid written and verbal communication skills with the ability to be resourceful and proactive when issues arise
  • Multitasking with the ability to prioritize tasks and organizational skills
  • Flexibility to work overtime if needed either before or after core hours

Responsibilities

  • Greeting and welcoming guests as they arrive at the office while displaying a friendly, energetic, and personable demeanor
  • Direct clients, vendors, and visitors to the appropriate person and/or location
  • Sign for incoming/outgoing deliveries (mail, food, messengers, etc.)
  • Answer, screen, and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Provide real-time scheduling support by booking meetings/rooms, and preventing conflicts utilizing Microsoft Outlook
  • Assist with order food/beverages as needed for meetings
  • Maintain office security by following safety procedures and controlling access via the reception desk and issue visitor badges
  • Assist with internal resume creating, formatting, and storage
  • Provide back-up support for administrative assistants, mailroom, copy center, and other groups as needed
  • Be able to listen to clients' questions, anticipate their needs, and satisfy every inquiry
  • Take responsibility for the presentation and appearance of the reception area
  • Fill refrigerators with beverages and replenish kitchen area supplies
  • Ensure kitchen and coffee counters are orderly
  • The ability to lift 50 pounds.
  • Other tasks and projects assigned.
