SUMMARY The receptionist/medical record provides general administrative support for the entire agency. Serves as administrative support staff by providing impeccable customer service to our clients. A primary responsibility is answering all incoming telephone calls to agency and routing to appropriate staff. Responsible for medical records management in the home health department. RESPONSIBILITIES 1. Responsible for answering phones and routing to appropriate staff. 2. Responsible for transferring phones to and from answering service on daily basis. 3. Responsible for daily in-coming mail and dispersing to appropriate staff. 4. Responsible for all daily out-going mail to include documentation requiring physician signature. 5. Develop and maintain an accurate employee phone roster. 6. Responsible for processing all documentation requiring physician signature: a. Must make copies of all documentation requiring physician signature prior to mailing out and stamping copies with Copy. b. Responsible for mailing and faxing documents requiring physician signature and/or providing documents to courier. c. Responsible for tracking the dates the documentation was mailed or faxed, and following up with any documentation requiring signature not returned in a timely basis. 7. Responsible for faxing all discharge summaries, transfer summaries, case conferences summaries, and missed visit reports to the physician. 8. Responsible for ensuring that all faxed documents are date stamped. 9. Responsible for providing a stamp date for all incoming signed orders and 485s in Block 25 and then routing signed documentation to appropriate personnel for computer entry. 10. Prepare order list for office supplies with DOS approval and email list to management company. 11. Upon receipt of supplies, verify packing slip to ensure all items are accounted for and provide DOS with signed and verified packing slip. 12. Maintain adequate quantities of agency forms. Prepare job application and personnel file information packets as well as patient admission packets. 13. File documentation in patients file. Remove the chart copy from the patients file and replace with the original. 14. Break down and thin patient charts. 15. Responsible for typing meeting minutes and/or memos for the managers. 16. And, other duties as assigned by management
