The Opportunity We are seeking a personable and energetic Receptionist/Legal Assistant to create a warm, welcoming first impression for potential clients and visitors in our Lake Charles office. This role provides essential support to our Litigation Paralegals and is ideal for a genuine, hospitable individual who excels at communicating with people from all cultures and backgrounds. The successful candidate will demonstrate excellent verbal communication, polished phone etiquette, confidentiality, integrity and exceptional guest-relations skills, ensuring every visitor enjoys a positive and gratifying experience. We are looking for an organized, detail-oriented multi-tasker who can manage assignments efficiently and support the litigation team with accuracy and efficiency. Objective Serve clients creating a professional, warm, and welcoming first impression, and support the Litigation Paralegals during the litigation phase of all assigned matters.

  • Accountable to provide the best possible customer service to our clients and act as their advocate when working with any third parties as directed by Litigation Paralegals.
  • Welcome clients, vendors, job applicants, and other visitors in a warm and friendly manner as soon as they arrive and connect them with the appropriate party.
  • Offer visitors a refreshment while they wait.
  • Maintain cleanliness of lobby.
  • Clean and organize conference rooms after meetings.
  • Ensure that front area is covered when stepping away from lobby.
  • Maintain cleanliness and stock of kitchen, restroom, and other common areas.
  • Contact and meet with clients as directed, such as new clients/intakes.
  • Contact third parties such as medical providers and insurance companies on behalf of the client.
  • Accountable to ensure that all matters assigned by Litigation Paralegals are handled as quickly, accurately, and thoughtfully as possible.
  • Ensure all data is properly and accurately entered into client management software (Litify).
  • Organize, save, and file all matter related documents.
  • Draft, save, mail, fax, and/or email correspondence and supporting documents.
  • Assist with the preparation, filing, and service of pleadings.
  • Assist with discovery, including but not limited to, the preparation and completion of skeleton forms, assisting the Paralegal in gathering responding documents.
  • Assist with trial preparation, including the assembly of exhibits, witness binders, and appendices for depositions and court filings.
  • Keep track of cases expenses, including medical expenses, copy and postage charges, entering into client management software (Litify) for each client.
  • Assist in requesting Medicare and Medicaid liens.
  • Accountable to provide Handling Attorney support as requested and as outlined in Litify Tasks.
  • Timely response and completion of tasks assigned by Handling Attorney and/or Paralegal.
  • Timely completion of all Litify Matter tasks.

  • Strong computer and keyboarding experience
  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
  • Previous experience within legal, medical, or insurance industry preferred
