About The Position

The Nevada City School of the Arts (NCSOTA) Receptionist is the first point of contact for visitors to the school, parents, staff and students. As the "face" of the school, the receptionist should be welcoming, personable, helpful and able to represent the school in a professional and friendly manner. In addition, it is essential that the person for this role is organized, able to multitask, work flexibly and have a "can do" approach to work, as no two days are the same.

Requirements

  • High School diploma
  • Minimum 2 years relevant work experience, preferred
  • Strong interpersonal skills, able to deal effectively with parent and student concerns as needed
  • Ability to maintain confidentiality in close-knit school community
  • Ability to prioritize, multi-task, and complete projects in a high-volume office environment
  • Ability to administer first aid to school-age children in a competent, compassionate manner
  • Fingerprint and Background clearance
  • CPR/First Aid Certification within 45 days of employment and every two years thereafter
  • Valid Tuberculosis clearance and every four years thereafter
  • Evidence of Automobile Insurance and valid California Driver's License
  • Great reserves of patience, tolerance, compassion, flexibility and dedication.

Responsibilities

  • Welcome parents, students, staff and public to NCSA in a professional and friendly manner
  • Greet, direct, and monitor visitors
  • Answer phone and direct calls, taking and communicating accurate and legible messages as necessary
  • Respond to routine inquiries by callers and visitors
  • Maintain professional and friendly working relationships with staff, students, vendors, and community and contribute as a team member
  • Record absent/tardy students using student information system (Synergy)
  • Assist with attendance coding and absence reasons from parents
  • Administer student first aid as necessary, monitor ill students, and ensure proper completion of accident reports
  • Monitor students referred to the office for disciplinary action
  • Make calls to parents and arrange for student pick-up as needed
  • Monitor student behavior in hallways and bathrooms
  • Secure school facilities and monitor "straggler" students who are not picked up on time, at the end of pre-designated weekdays
  • Support school events and fundraising activities by selling tickets, collecting orders, taking phone calls, being a single point of contact
  • Ensure safe collection, storage, and forwarding of all fundraising dollars received at school office
  • Receive, sort, and distribute incoming mail, faxes, and deliveries
  • Communicate information and/or direction to staff, the public and other districts, as directed
  • Refer all media calls and correspondence to the Executive Director
  • Maintain confidentiality, as appropriate, to ensure high professional standards within the school office
  • Manage breakfast and lunch leftovers
  • Supervise UC Aides/Para's and Assist with scheduling.
  • Be the point person for any questions or concerns and provide feedback to the principal/manager
  • Support RavenWolf staff after school hours with snacks, medications, injuries, contacting parents, and general supervision in the courtyard.
  • Collect extra snacks for students
  • Manage lost and found
  • Assist with processing incoming volunteers, including fingerprint clearance, driving clearance, and maintenance of volunteer records
  • Distribute and collect all beginning-of-year student/parent info and distribute to appropriate staff for processing
  • Receive student emergency/contact change forms and communicate changes to the Administrative Data Technician
  • Coordinate student health services, including serving as liaison to the school nurse, reviewing health inventory forms, monitoring student medication inventory for students in your purview
  • Inform building maintenance needs to the Facilities Coordinator
  • Monitor Vaping/aggression sensor in the bathrooms via cell phone
  • Provide information and observations to the Principal and other office personnel, as needed
  • Abide by all NCSOTA Employee Handbook guidelines
  • Completion of mandatory training (video & in-person) within 6 weeks of employment and every year
  • Perform all other duties as needed or assigned
