About The Position

Vickers and Nolan Enterprises (VNE) is an engineering company that provides Government projects and programs with experienced and dedicated system architects, engineers, subject matter experts (in tactical intelligence), and program managers. Requirements

  • Education: High School Diploma/GED
  • Experience: Experience in an administrative, front-office, or customer support role
  • Strong customer service and communication skills
  • Experience managing calls, calendars, and digital correspondence
  • Strong organizational skills with the ability to manage multiple priorities
  • Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, SharePoint)
  • Ability to operate and manage digital office tools (e.g., scanners, multifunction printers, collaboration platforms)
  • Experience coordinating travel and schedules in a fast-paced environment
  • Ability to handle high-visibility interactions with leadership and external visitors
  • U.S. Citizenship required
  • Must be able to work onsite five days a week (Mon–Fri)

Responsibilities

  • Serve as the first point of contact for visitors, customers, and employees
  • Provide professional, customer-focused experience for all visitors and callers
  • Manage the front desk area and ensure a professional, organized workspace
  • Manage incoming calls, directing inquiries to appropriate staff
  • Monitor and manage office access and visitor procedures, including visitor badges
  • Ensure compliance with facility access procedures and security protocols
  • Manage physical mail and deliveries
  • Coordinate meeting spaces, conference rooms, and virtual meetings
  • Order, track, and maintain office and kitchen supplies; monitor inventory levels and restock as needed
  • Maintain organization and cleanliness of shared spaces, including kitchen areas, supply rooms, and office equipment
  • Coordinate with property management and service vendors to resolve facility-related issues
  • Maintain and update office seating charts and floor plans to reflect current staff locations
  • Proactively support day-to-day office operations to ensure a smooth and efficient work environment.
  • Coordinate domestic and international travel arrangements, including: Flights, lodging, and rental vehicles
  • Digital itineraries and travel documentation
  • Schedule coordination across multiple travelers and time zones
  • Ensure travel aligns with company and government policies
  • Communicate updates and logistics clearly to travelers and leadership
  • Ability to communicate task requirement information to client in a clear and concise manner.
  • Must be able to sit and stand for prolonged periods of time, as well as lead and participate in meetings and working groups.
  • Requires visual acuity to use a keyboard.
  • Must be able to attend work each day, during scheduled hours, unless on travel or approved time off.
  • Ability to work on computer for long periods, and communicate with individuals by telephone, email and face-to-face
