About The Position

Legrand has an exciting opportunity for a Receptionist/Facilities Manager to join the Data, Power & Control team in Somerset, NJ. Under direction of the Office Administrator, the Receptionist will provide exceptional customer service to answer questions and provide Company information to the general public, customers, visitors, and other interested parties. The Receptionist will perform a variety of administrative tasks and data entry. This position ensures that all assigned duties are performed quickly, efficiently, and according to the established departmental and company policies, procedures and goals. The Receptionist, as with all members of the Legrand Team, is expected to promote a positive attitude, demonstrate initiative, professionalism, personal awareness, integrity, and exercise confidentiality.

Requirements

  • High School Diploma or GED; Associate's degree or equivalent from two-year college, preferred; or one year related experience and/or training; or equivalent combination of education and experience.
  • Minimum of 6 months’ receptionist and administrative support experience.
  • Computer proficient with knowledge of Microsoft Office products (Word/Excel/Outlook/PowerPoint).
  • Effective oral and written communication skills with the ability to provide information across multiple groups in the Company including Finance, Engineering, Marketing, and Sales.
  • Strong organizational skills and the ability to work independently.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations and high attention to detail.
  • Work environment is fast-paced, and priorities can shift quickly.
  • All employees are expected to go outside their primary responsibilities when required, and multi-task job duties on a regular basis.
  • While performing the duties of this Job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear.
  • The employee may frequently lift and/or move up to 20 pounds and may rarely lift and/or move up to 40 pounds.

Responsibilities

  • Operate telephone switchboard (TEAMS) to answer, screen, or forward calls, provide information, take messages, or schedule appointments.
  • Provide exceptional customer service to respond to routine questions and provide information in a timely manner.
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Use appropriate resources to determine answers to questions from customers or members of the public.
  • Open, sort and route incoming mail/packages.
  • Scan invoices into ESKER.
  • Operate and maintain postage meter.
  • Process small parcel FedEx shipments.
  • As directed, coordinate food orders for meetings.
  • Verify quantities needed, contact restaurants, place orders, coordinate food delivery, and take food to designated meeting rooms or areas.
  • Set up designated meeting rooms or areas with utensils and beverages as needed.
  • Order, organize, and stock office and break room storage areas.
  • Ensure that available supplies are stocked and replenished as needed.
  • Place POs in ESKER for various office/lab supplies as needed/requested.
  • Perform weekly facility walkthroughs/inspections and document results.
  • Create, print, laminate, and post office signs, announcements, and miscellaneous flyers as needed.
  • Internal contact for building issues.
  • Track said issues to closure.
  • Contact building manager/vendors and schedule repairs for building maintenance and emergency issues.
  • Maintain building Badges; activate and deactivate as necessary per request from HR or Facilities Manager
  • As directed, serve as a backup in preparing local, domestic, and international travel arrangements, including air travel, car rental, and hotel accommodations.
  • As needed, assist HR with employee events, recognition, scheduling interviews, etc.
  • Coordinate First Aid AED/CPR and Advanced Bleeding Control classes on a yearly basis.
  • Maintain first aid kit supplies and AEDs.
