About The Position

We are seeking a professional and organized Receptionist/Administrative Assistant to join our dynamic team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with office software. Bilingual skills are a plus, as well as experience in medical or dental reception settings. Part Time Working hours are as follows: Monday-Friday 4:30PM-7:00PM & Saturdays 9AM-5:30PM

Requirements

  • Proven experience in office administration or clerical roles; previous receptionist experience preferred
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively
  • Strong written and verbal communication skills; bilingual abilities are a plus
  • Experience managing multi-line phone systems and providing high-quality customer service
  • Attention to detail for proofreading documents and managing schedules accurately
  • Ability to handle sensitive information discreetly and maintain confidentiality
  • Demonstrated time management skills with the ability to prioritize tasks efficiently

Nice To Haves

  • Previous experience in medical or dental office settings is advantageous but not required

Responsibilities

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, direct calls, and take detailed messages
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Call customers inquiring about service experience.
  • Assist with billing, bookkeeping, and Data entry as needed
  • Provide customer support via phone, email, or in person, ensuring excellent phone etiquette.
  • Support office management tasks including supply ordering, organization of files, and general clerical duties
  • Maintain a clean and organized reception area to promote a welcoming environment
  • Coordinate with other staff members to ensure efficient daily operations
  • Other duties as assigned by management.
