About The Position

We are currently looking for a Receptionist/ Administration Assistant responsible for assisting staff with a variety of standard office administrative tasks. The Receptionist/Administrative Assistant will be required to interact with customers, visitors, and employees in a professional and cheerful manner. -Cranston, RI 02920 About Us: Accesspoint RI is a nonprofit organization assisting individuals with developmental disabilities. Essential Duties and Responsibilities: The Receptionist/Administrative Assistant serves as the welcoming front door of the organization. This role greets visitors, supports staff, and helps maintain an organized and professional office environment. The ideal candidate is friendly, proactive, and detail-oriented, taking initiative to ensure the office runs smoothly and that everyone who interacts with the organization has a positive experience. This position plays an important role in supporting daily office operations while providing administrative and logistical assistance across the organization.

Requirements

  • High School Diploma or equivalent; some college preferred. 2+ years of administrative support experience. Strong interpersonal and customer service skills
  • Friendly, professional demeanor and strong communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize responsibilities
  • Comfort using office technology and software such as Microsoft Office
  • Ability to work independently while supporting team needs
  • Excellent written/interpersonal communication and organizational skills. Proficient in Excel and Word.
  • Ability to optimally connect with employees.
  • Ability to work quickly and efficiently.
  • Strong digital literacy is required for Office (Word, Excel, PowerPoint, etc.) Internet, typing, other databases and spreadsheet software.

Responsibilities

  • Maintain a neat and orderly workspace, ensuring the reception and conference areas are clean, organized, and welcoming.
  • Answer the outside buzzer, screen visitors, and open the front door as appropriate.
  • Greet customers, clients, employees, and guests in a friendly, professional, and helpful manner.
  • Answer phones, screen calls, and direct inquiries to appropriate staff.
  • Perform administrative functions including opening, screening, and distributing mail.
  • Maintain office supply inventory and restock supplies as needed.
  • Maintain office memos, informative postings, and internal telephone lists.
  • Operate office technology and systems including voicemail systems, copy/scanners, personal computers, and Microsoft Office applications.
  • Operate, maintain, and update the Reach Media digital sign located in the reception area.
  • Perform routine office tasks such as copying, preparing binders or booklets, laminating materials, and organizing documents.
  • Provide logistical support for new hire orientation and internal meetings, including preparing materials, setting up meeting spaces, coordinating food setup, and assisting with cleanup.
  • Assist with clerical and administrative tasks throughout the office as needed and as regular job duties allow.
  • Demonstrate a proactive, customer-service oriented approach by anticipating office needs, offering assistance when appropriate, and contributing to a positive and collaborative workplace environment.
  • The Receptionist/Administrative Assistant will be empowered to manage priorities appropriately while maintaining professional boundaries.
  • May participate as volunteer staff in agency events, such as the golf tournament or other fundraising activities, when available.
